Position Summary
We are seeking a knowledgeable and detail-oriented Human Resources Coordinator to support day-to-day HR operations and ensure compliance with company policies and applicable local, state, and federal employment laws. This role serves as a key resource for employees and managers, providing guidance on employee relations, leave administration, HR systems, benefits, and compliance requirements.
The ideal candidate is organized, approachable, and able to manage multiple priorities while maintaining confidentiality and professionalism.
Essential Duties and Responsibilities
Leave AdministrationÂ
- Administer employee leave programs including Family and Medical Leave Act (FMLA), Washington State Paid Family & Medical Leave (PFML), Washington Paid Sick Leave, and other company-provided leave programsÂ
- Serve as the primary point of contact for employees requesting leave and provide guidance on eligibility, timelines, and required documentationÂ
- Review leave requests and supporting medical documentation for completeness and complianceÂ
- Track employee leave balances and maintain accurate leave recordsÂ
- Coordinate leave benefits with payroll, benefits providers, and managersÂ
- Ensure required notices, forms, and communications are provided within regulatory deadlinesÂ
- Monitor intermittent leave usage and ensure accurate trackingÂ
- Communicate return-to-work requirements and coordinate fitness-for-duty documentationÂ
- Maintain confidentiality of medical and leave-related informationÂ
- Stay current on changes to federal and Washington State leave laws and requirementsÂ
HRIS & Employee Software Administration
- Set up new employees in company software systems, including HRIS, payroll, timekeeping, benefits, and other employee platformsÂ
- Maintain accurate employee data across all HR and employee management systemsÂ
- Process employee status changes including hires, transfers, promotions, and terminationsÂ
- Troubleshoot employee access issues and coordinate with IT or vendors as neededÂ
- Assist with implementation, updates, and maintenance of HR-related software systemsÂ
Employee Relations & Support
- Serve as a point of contact for employee questions regarding policies, procedures, benefits, and leave programsÂ
- Provide guidance to supervisors and managers on employee relations mattersÂ
- Assist with performance management processes, disciplinary actions, and documentationÂ
- Support conflict resolution and workplace investigations as assignedÂ
- Promote consistent application of company policies and practicesÂ
Recruitment & Onboarding
- Assist with recruitment activities including job postings, candidate screening, and interview schedulingÂ
- Assist with new hire onboarding and orientationÂ
- Ensure all new hire documentation is completed accurately and timelyÂ
- Maintain applicant tracking and hiring recordsÂ
Compliance & Recordkeeping
- Maintain accurate employee personnel and medical files in compliance with applicable lawsÂ
- Ensure compliance with local, state, and federal employment laws and regulationsÂ
- Assist with policy updates and employee handbook administrationÂ
- Support internal and external auditsÂ
- Maintain required labor law postings and documentationÂ
Benefits Administration
- Assist employees with benefits enrollment, changes, and questionsÂ
- Coordinate benefits changes related to leave eventsÂ
- Serve as liaison between employees and benefits providersÂ
- Support annual open enrollment processesÂ
Training & Development
- Coordinate employee training sessions including compliance-related trainingÂ
- Track required certifications and training completionsÂ
- Assist with development of HR training materialsÂ
Additional Responsibilities
- Assist with payroll processing support as neededÂ
- Support HR projects and initiativesÂ
- Perform other duties as assignedÂ
Qualifications
Education & Experience
- Minimum of 3–5 years of HR experience requiredÂ
- Experience in a multi-location or fast-paced environment preferredÂ
Knowledge, Skills, and Abilities
- Strong working knowledge of FMLA, Washington PFML, and other applicable leave lawsÂ
- Knowledge of federal, state, and local employment lawsÂ
- Strong organizational and time-management skillsÂ
- Excellent written and verbal communication skillsÂ
- Ability to maintain confidentiality and handle sensitive medical informationÂ
- Proficiency in Microsoft Office Suite and HRIS systemsÂ
- Ability to manage multiple deadlines and regulatory timelinesÂ
- Strong attention to detail and documentation accuracyÂ
Preferred Qualifications
- HR certification such as PHR, SHRM-CP, or similarÂ
- Experience with multi-location workforce administrationÂ
- Experience conducting workplace investigationsÂ
- Experience implementing or managing employee software systems
Pay ranges from $23.00 - $26.00 per hour.Â
