What is the Opportunity?
The Senior Administration Assistant serves as a senior-level assistant and provides project management support across complex projects and programs. This role ensures high-quality project execution by providing coordination, project controls support, cross-functional communication, and process oversight. The Senior Administration Assistant works closely with project directors/managers, technical leads, stakeholders, and senior leadership to maintain project health, improve workflows, and drive successful delivery of project objectives. The Senior Administration Assistant oversees administrators during pre-outage and outage activities, coordinates site procurement and deliveries, maintains accurate project records and files, maintains time and per-diem records, coordinates relocation and onboarding efforts, and provides technical support.

What You'll Do Here:
- Assist in day-to-day coordination of complex, multi-phase projects, ensuring alignment across teams and stakeholders.
- Assist in maintaining and tracking project schedules, milestones, dependencies, and critical path activities.
- Support project managers and technical leads in developing project related documents.
- Assist in ensuring deliverables are completed on time, within scope, and compliant with organizational standards.
- Create, maintain, and/or audit project documentation including schedules, risk registers, change requests, action logs, and meeting minutes.
- Assist senior management with monitoring project budgets, forecasts, costs, and financial documentation in collaboration with project controls teams
- Serve as a central point of communication between project teams, leadership, vendors, and external partners.
- Coordinate and facilitate project meetings, workshops, reviews, and working sessions
- Identify administrative process gaps and lead efforts to develop, refine, and optimize project workflows and procedures.
- Mentor administrative project staff, offering guidance on project coordination best practices.
- Support organizational initiatives aimed at improving standardization, efficiency, and project delivery quality.

What You Bring To The Team:
- Strong understanding of project management methodologies (e.g., PMI, Agile, Waterfall).
- Proficient in project management tools (e.g., Primavera P6, MS 365 suite).
- Excellent written and verbal communication skills with ability to adapt across audiences.
- Demonstrated ability to manage multiple tasks and deadlines in a dynamic project environment.
- Strong analytical skills, attention to detail, and a proactive approach to problem‑solving
- PMP, CAPM, or other project management certifications (or willingness to pursue).
- Experience in complex, high‑visibility, or regulated project environments (preferred).
- Prior experience coordinating cross‑functional or multi-disciplinary project teams at a senior level (preferred).

Pay and Benefits:
Pay Range: $30 per hour

Individual pay is determined based on several factors, including work location, education, experience, unique skills and job conditions. Other considerations may include certifications, specialized training, and the complexity or scope of the role.Â
