With the continuous growth of our offices, we have the need to expand our team to include Front Desk Coordinator to ensure that every client begins their experience and journey with The Joel Bieber Firm on the highest note.

We are currently seeking a Front Desk Coordinator to join our Richmond office. The Front Desk Coordinator serves as the first point of contact for clients and visitors at the firm, providing a warm, professional, and compassionate welcome. This role is responsible for managing incoming calls, maintaining the reception and office areas, conducting client intake procedures, and providing administrative support to the legal team.

Job Responsibilities:

  • Greets clients and visitors in a professional and courteous manner.
  • Drafts and sends welcome letters and assembles gift bags for new clients.
  • Answers and directs incoming calls for all office locations using a multi-line phone system.
  • Handles initial client intake by gathering basic information (e.g., contact information, case type) and provides this to firm investigators for follow-up.
  • Maintains the reception area’s cleanliness and ensures it is well-stocked with office supplies, brochures, and refreshments, including making coffee throughout the day.
  • Performs basic cleaning tasks as needed, including wiping surfaces, loading/unloading the dishwasher, cleaning the coffee makers, and helping with refrigerator clean-out on a routine basis.
  • Monitors shared supply levels (e.g., coffee, tea, paper towels) and notifies the office manager or reorders as appropriate.
  • Manages conference room bookings and coordinates daily meeting schedules, as needed.
  • Receives and sorts faxes, mail, packages, and deliveries, and distributes them to office recipients accordingly.
  • Prepares physical case files and provides them to the assigned paralegal and/or attorney.
  • Uses legal practice management software or CRM systems to assist with administrative tracking.

Qualifications:

  • High school diploma or GED required
  • Prior experience in a customer service-related role (e.g., call center) preferred
  • Ability to multitask, prioritize workload, and meet deadlines in a fast-paced environment
  • Attention to detail and accurate data entry
  • Excellent written and verbal communication skills
  • Ability to adapt to changing demands
  • High level of discretion and professionalism
  • Proficient with Microsoft Office suite
