Position Overview

 

Whiteford is seeking an experienced Commercial Real Estate Legal Administrative Assistant to provide comprehensive legal and administrative support to attorneys with a busy and sophisticated commercial real estate practice. In addition to general administrative responsibilities such as calendar management, document preparation, matter organization, billing support, and coordination of meetings and deadlines, this role provides hands-on support throughout the transaction lifecycle, including due diligence, document execution, closing coordination, and management of key deliverables.


The ideal candidate will have prior commercial real estate experience and be comfortable working directly with attorneys, clients, title companies, lenders, brokers, opposing counsel, and other transaction parties. Key Responsibilities

  • Provide comprehensive legal and administrative support to assigned attorneys, anticipating needs and managing competing priorities.


  • Prepare, edit, proofread, format, and finalize legal documents, correspondence, and other materials.


  • Manage calendars, meetings, travel, deadlines, document execution, and other matter-related logistics.


  • Maintain matter files and assist with new matter intake, time entry, billing, invoicing, expense reporting, and related administrative processes.


  • Assist with commercial real estate due diligence by organizing title documents, surveys, leases, entity records, and other transaction materials.


  • Coordinate document execution, electronic signatures, closing deliverables, and related transaction logistics.


  • Maintain transaction checklists, closing binders, calendars, and key deadlines throughout the matter.
  • Communicate professionally with clients, opposing counsel, title companies, lenders, brokers, and other transaction parties while providing related document and administrative support.

 

Qualifications

  • 2-5+ years of legal administrative assistant or comparable legal support experience, preferably in a law firm environment; experience supporting commercial real estate attorneys preferred.


  • Strong organizational, time-management, proofreading, and communication skills with exceptional attention to detail.


  • Ability to manage multiple priorities and deadlines, take ownership of assignments, anticipate needs, and exercise sound judgment with limited supervision.


  • Proactive, responsive, and client-service oriented, with the ability to work independently and collaboratively while maintaining professionalism and confidentiality.


  • Strong proficiency with Microsoft Office and experience with legal document management, timekeeping, billing, and other law firm technology preferred.
