About Us: Established in 1975 by an act of the Virginia General Assembly, the Capital Region Airport Commission owns and operates Richmond International Airport (RIC). The Commission directs the growth, operation and business activities of RIC and works tirelessly to ensure it continues to be an affordable option for local, regional, and out-of-state travelers.  

PURPOSE OF POSITION

The Administrative Assistant will support the Director of Operations and Security and the Operations and Security departments by providing comprehensive administrative, logistical, and organizational assistance. This role will manage scheduling, coordinate departmental communications, maintain records, and assist with operational projects to ensure smooth and efficient day‑to‑day operations.

 

JOB FUNCTIONS:

  • Coordinate and manage the Director’s and departmental staff calendars by scheduling and prioritizing meetings, monitoring deadlines, travel arrangements, and event logistics.
  • Oversee logistics for departmental events, trainings, and cross‑functional engagements by coordinating venues, technology requirements, catering, attendee communication, and on‑site support.
  • Handle invoice processing efficiently, including verifying payments and ensuring all financial documentation is up to date. 
  • Prepare and submit purchase requisitions for approval in accordance with company procedures. 
  • Assist with the ordering, managing, and distribution of office supplies, uniforms, and other departmental materials.
  • Prepare, compile, and submit required reports for the Director and departmental staff, ensuring accuracy, completeness, and adherence to all applicable State and Federal regulations.
  • Review reports for compliance with regulatory standards, resolve discrepancies, and coordinate with relevant departments or external agencies when clarification or additional information is needed.
  • Oversee the full monthly cycle of traffic citation payment processing, including gathering and verifying citation data, preparing payment batches, and ensuring timely submission. Conduct thorough reviews of payment records to update account information, correct discrepancies, and maintain accurate documentation. Prepare and issue collection letters in accordance with established procedures, tracking responses and escalating unresolved matters as needed. 

REQUIRED EDUCATION & EXPEREIENCE:

  • Bachelor’s degree in business, public administration, criminal justice, or related field.  
  • Five (5) or more years of administrative experience, preferably in aviation, federal, state or local agencies. 

REQUIRED SKILLS:

  • Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Strong attention to detail and organizational skills
  • Ability to maintain confidentiality and handle sensitive information appropriately
  • Ability to work independently, establishing priorities to carry projects through to timely completion
