The Human Resources Coordinator supports the day-to-day administration of HR functions, including recruitment, onboarding, employee records, benefits, performance management, training, employee engagement, and compliance. They work closely with the Human Resources Director, department leaders, and employees to ensure HR processes are completed accurately and on time.


They also coordinate with the Safety Department on OSHA documentation, safety training, incident records, and PPE tracking.


Key Responsibilities


Recruitment, Hiring & Onboarding

  • Coordinate internal hiring requests and maintain communication with department leaders regarding staffing needs, position requirements, and hiring status.
  • Coordinate the recruitment process, including posting approved job openings in BambooHR and other recruiting platforms, reviewing resumes, conducting initial candidate screening as appropriate, scheduling interviews, and communicating with candidates throughout the process.
  • Prepare approved employment offers and coordinate the collection of pre-employment and new-hire documentation.
  • Coordinate internal approvals and ensure required hiring documentation is completed before the employee's start date.
  • Coordinate the onboarding process, including new-hire orientation, required documentation, system access, company-issued items, and introductions to appropriate departments.
  • Provide follow-up support to new employees during the onboarding and introductory period and address or escalate questions as appropriate.
  • Maintain accurate recruiting and onboarding records within BambooHR.


HR Administration

  • Maintain accurate and confidential employee records, HR documentation, and benefits recordkeeping, in coordination with the Payroll Manager.
  • Support benefits administration, performance management, training, and employee engagement activities.
  • Respond to routine employee HR questions and ensure appropriate follow-up.
  • Assist the CFO with HR policies, procedures, reporting, and compliance requirements.
  • Utilize approved AI tools to assist with document preparation, draft communications, summarize information, and support HR workflows while maintaining confidentiality and company policies.


Front Desk Supervision & Administrative Coordination

  • Provide day-to-day supervision and guidance to the front desk/administrative support position, including clear expectations and consistent adherence to company procedures.
  • Monitor front desk coverage, professionalism, and administrative processes, and provide coaching, feedback, and training, escalating performance concerns to the Human Resources Director as appropriate.
  • Coordinate with the front desk on onboarding logistics, employee supplies, uniforms, PPE distribution, office inventory, and other administrative needs.


Safety & Compliance

  • Coordinate with the Safety Department on OSHA recordkeeping, safety training, incident documentation, and PPE tracking.
  • Maintain required records and assist with compliance-related documentation and reporting.



Qualifications

  • Bachelor's degree in Human Resources, Psychology, Business Administration, or a related field preferred.
  • 2–3 years of experience in human resources, administrative support, or a related role.
  • Working knowledge of recruitment, onboarding, benefits administration, employee records, training, and HR compliance.
  • Familiarity with OSHA requirements and workplace safety documentation preferred.
  • Experience with HR platforms, preferably BambooHR or a similar HRIS, and proficiency in Microsoft Office and Google Workspace.
  • Intermediate level knowledge and experience with AI tools, including the ability to write clear prompts, draft communications and documents, summarize information, and support HR workflows with minimal guidance.
  • Comfortable learning and adopting new technologies and digital tools.
  • Strong organizational, communication, and interpersonal skills, with the ability to coordinate multiple priorities and work effectively with employees and department leaders.
  • Ability to handle confidential and sensitive information professionally, with strong attention to detail, follow-through, and problem-solving skills.
  • HR or safety-related certifications are a plus but not required.


Physical Requirements

  • Ability to sit or stand at a desk for extended periods.
  • Ability to lift and carry files, supplies, or onboarding materials up to approximately 25 lbs.
  • Ability to perform repetitive tasks using a computer, phone, and office equipment.

  • Some travel between company locations may be necessary on an as-needed basis.

Work Environment & Schedule

This is a full-time, in-person position requiring 40 hours per week. Regular and reliable attendance is an essential part of the position.
