Overview

The North America Operations Administrative Assistant is responsible for supporting the NA Operations team by working collaboratively with management on various tasks and projects. This role directly supports an operations leadership team of 13 members and acts as a conduit to the larger manufacturing operation across three sites. This position will be based out of our headquarters and primary manufacturing site in Ripon, WI.

Responsibilities

  • Manage calendars and scheduling for the Operations Leadership team, coordinating meetings and resolving scheduling conflicts in a timely manner.
  • Coordinate logistics for customer tours and site visits to the Ripon facility, ensuring guests have a positive and welcoming experience.
  • Use SAP and Microsoft Excel to update data, maintain records, and generate reports for the Operations team.
  • Support the scheduling and coordination of the annual company-wide hearing test program for all team members.
  • Assist in planning and organizing team events, luncheons, and meetings, including room setup, catering, and communications.
  • Make travel arrangements for members of the Operations Leadership team, including booking flights, hotels, and transportation.
  • Provide administrative support to both Operations and HR departments, including data entry and general office tasks as needed.
  • Order and coordinate food for departments across campus for overtime shifts, meetings, and events.
  • Support daily office operations by identifying opportunities to improve workflows and contribute to overall team efficiency.

Qualifications

Knowledge/Experience/Education:

  • Associate Degree preferred, but not required
  • High School Diploma/GED or equivalent required
  • 1 year of related administrative work experience
  • Manufacturing environment or fast paced industry preferred

 

Skills and Abilities:

  • Strong computer skills with Microsoft Office Suite (PowerPoint, Word, Excel, and Outlook) and SAP;
  • Ability to work on and complete multiple projects simultaneously;
  • Excellent written and verbal communication skills;
  • Ability to proactively identify, troubleshoot and resolve issues that may arise;
  • Ability to work independently and as part of a team;
  • Ability to prioritize and stay organized in a changing environment;
  • Solid attention to detail and ability to manage shifting priorities.
  • Ability to work in a team environment with exceptional customer service skills and a high degree of professionalism required.

 

 Physical Requirements:

  • Position involves sitting long periods, standing, manual dexterity, stooping, bending and minimal lifting.
