Why This Role Exists
Payroll is REEDER's largest recurring cash outflow and a direct input to job cost, WIP, and quarterly financials. This position consolidates payroll, labor cost allocation, and benefits administration under one accountable person.
Core Responsibilities
Payroll Ownership (50%)
- Own end-to-end multi-state payroll processing, funding, and reconciliation for all employees.
- Maintain payroll master data in BambooHR and the accounting system; own the integration between them.
- Own payroll tax deposits, quarterly 941s, state filings, W-2s, and year-end close.
- Own certified payroll, prevailing wage, and Davis-Bacon reporting for public work.
- Maintain payroll controls: segregation of duties, approval routing, off-cycle and change documentation.
Job Cost & Labor Allocation (20%)
- Allocate labor, burden, and payroll-driven overhead to jobs and cost codes each cycle.
- Reconcile labor cost between payroll, job cost, and the general ledger before close.
- Deliver payroll and burden inputs to month-end and quarter-end close on a published calendar.
- Support workers' comp audits, general liability audits, and union or agency reporting.
Benefits Administration (20%)
- Administer health, dental, vision, life, disability, and 401(k) day to day; own enrollments, changes, and terminations.
- Support HR through open enrollment and insurance renewals; own the census, cost modeling, and carrier data.
- Reconcile all benefit invoices to payroll deductions monthly and resolve variances.
- Own 401(k) funding, census, and annual audit or 5500 support.
- Maintain ACA, COBRA, FMLA, and leave tracking compliance.
Compensation Governance & Executive Plans (10%)
- Maintain the compensation band structure and keep employee placement current.
- Administer the bonus program: eligibility, calculation, cadence, funding, and payout.
- Support the CEO on compensation strategy, market benchmarking, and band adjustments.
- Administer the executive phantom stock plan: participant records, valuation inputs, vesting schedules, statements, and payout tracking under CEO and Controller direction.
- Maintain confidentiality and documentation standards for all executive compensation records.
Required Qualifications
- 5+ years payroll experience, with at least 2 years owning full-cycle payroll.
- Multi-state payroll and payroll tax compliance experience.
- Working knowledge of benefits administration and 401(k) plan operations.
- Proficiency in payroll and HRIS platforms; BambooHR experience preferred.
- Advanced Excel; comfortable reconciling to a general ledger.
- Demonstrated discretion with confidential compensation data.
Preferred Qualifications
- Construction or project-based industry experience.
- Certified payroll and prevailing wage reporting experience.
- CPP (Certified Payroll Professional) or SHRM-CP / CEBS.
- Experience supporting month-end and quarter-end close.
