Essential Duties and Responsibilities:  The Adult Skills Center (TASC) provides innovative and proactive services that empower individuals with diverse intellectual, developmental, and mental health needs to achieve their highest level of Independence and realize their greatest potential. Under the supervision of the Director of Operations, the Administrative Coordinator - Program Specialist I must communicate work effectively with other TASC Employees, Program Coordinators, and/or Directors as needed. The Program Specialist I must be able to work successfully with minimal to no supervision. Primary Duties  - Assist with Transportation (included but are not limited to):Â
- Manages vehicle fleet list and assigns vehicles depending on program and client needsÂ
- Responsible for monitoring and handing out keys to drivers in the morning and collecting them in the afternoonÂ
- Assist in assigning gas card and gas pins to new drivers and new vehiclesÂ
- Assist with incident reporting (vehicle incidents, etc.)Â
- Assist with maintaining documentation and follow procedures set forth by TASCÂ
- Responsible for taking vehicles to shop/mechanic for any vehicle related emergencies or maintenanceÂ
- Liaison between body shops and TASCÂ
 - Front Desk Coverage (as needed)
- Greet and assist visitors, staff, and clients in a warm, professional manner
- Monitor site entry, answer phone calls, and respond to general inquiries
- Responsible for opening, closing, and locking the office
- Organize mail, packages, or any deliveries and distribute appropriately
 - General House/Office Assistance
- Responsible for ordering of supplies, snacks, and any other supplies needed for the officeÂ
- Track, manage, and reconcile petty cash on a monthly basis
- Manage drop-in reservations
- Responsible for maintaining property cleanliness (coffee area, front desk, meeting rooms, and any other areas as assigned)
- Assist with decorating for events and holidays as requested by supervisor
- Assist with maintaining bulletin board and other publicly posted staff announcements up to date
- Assist with printing, scanning and faxing as needed
- Assist with maintenance of property appliances and submit repair orders as needed
- Manage and assist janitorial and any related duties as necessary
- Assist with facility maintenance as needed
 - Program Assistance (include but are not limited to):Â
- Oversee day-of logistics such as room setup, signage, and program flowÂ
- Ensure program supplies are fully stocked
- Ensure program rooms are clean and maintained hazard free
- Assist all programs with any duties as requested (spreadsheets, printing, tablets, etc.)
- Responsible for attending weekly meetings and accurately recording attendance and taking detailed minutes capturing key points, action items, and deadlines
- Assist with Program Events – attend committee meetings and manage any duties assigned within that committee (handling of money, money collection, setup/cleanup, etc.)
- Run errands for programs as needed
 - Payroll/Billing
- Responsible for the collection, organization, finalization, and auditing of all Meal Break Attestation Forms and Clock In/Out Error Forms each pay period
- Assist with other payroll related assignments as requested
- Assist with auditing and maintaining client files, care notes, SIR’s, etc. as needed to ensure billing is submitted accurately and timely
- Assist with other billing related assignments as requested
Other Duties - Perform other duties as assigned
- Perform other off-site duties as assigned
- Participate in weekly meetings, trainings, etc. as assigned by supervisor
- Bachelor’s degree (B.A.) or equivalent from four-year college or university and/or relevant experience preferredÂ
- In-person position with the ability to work remotely (home or alternate office in the AV, Frazier Park, Mojave, SFV, or SCV worksites) upon request, as needed
- Must be able to work well with diverse people and cultures, persons with intellectual and developmental disabilities and all persons with barriers to employment
- Requires initiative, creativity, and the ability to work independently with minimal supervision
- Must be proficient in Microsoft Office Suite with the ability to learn and adapt to new software
- Ability to work remote (home/alternate location)
- Ability to maintain confidentiality
- Must be able to successfully complete First Aid/CPR and other training as required
- Maintain all certifications up to date
- Must have current California Driver’s license/Insurance and clean DMV. Must receive criminal record clearance through the DOJ.
- Physical Requirements:
- Ability to drive for work to/from multiple locations, maintain valid driver’s license and up-to-date car insurance
- Ability to safely and successfully perform the essential job functions consistent with the ADA, FMLA and other federal, state and local standards, including meeting qualitative and/or quantitative productivity standards.
- Ability to maintain regular, punctual attendance consistent with the ADA, FMLA and other federal, state and local standards.Â
- While performing the duties of this job, the employee is regularly required to sit; use hands and fingers; handle or feel; reach with hands and arms; talk; and hear. The employee is frequently required to walk, balance, stoop, kneel, and/or crouch. The employee must occasionally lift and/or move up to 20 pounds. Specific vision abilities required by this job include close vision, distance vision, peripheral vision, depth perception, and ability to adjust focus. Keyboard data entry required.Â
