What this job involvesĀ -Ā 

TheĀ FacilitiesĀ Coordinator will provide support to the Site and/or Facility team with operational activities in maintenance and operations, accounting and finance, vendor oversight, equipment and supplies, occupancy services, and other general duties asĀ requested. The person in this role will also proactively develop andĀ maintainĀ clientĀ relationshipsĀ ensuring that expected service levels are achieved.Ā 

What is your day to day?Ā Ā Ā 

  • Actively support an environment of teamwork, cooperation, performance excellence, and personal success,Ā in accordance withĀ all agreed policies, procedures and contract scope.Ā 

  • Assist Facility Management Team with tactical planning for the team’s goals andĀ objectivesĀ 

  • Provide facility specificĀ assistanceĀ to the project management team as needed or requestedĀ 

  • Schedule and manage repairs and maintenance, minorĀ worksĀ and other work requests,Ā tracking toĀ completion.Ā 

  • Build supplier relationships andĀ assistĀ vendors with site visits, onboarding, and other needs as necessaryĀ 

  • Provide information andĀ directionĀ to vendors, facilities staff and other service providers asĀ requiredĀ to ensure excellent coordination and execution of work, with minimal disruption.Ā 

  • AssistĀ with the coordination and scheduling of maintenance activities and the procurement of vendors and service asĀ required.Ā 

  • Update andĀ maintainĀ accurateĀ records and official documentation for the site/s, ensuringĀ appropriate followĀ up with vendors, stakeholders, and clients.Ā 

  • Provide general overall facility management services including continuous monitoring of office/facilityĀ 

  • Act as an interface with client, visitors,Ā and guestsĀ 

  • Conduct daily walkthroughs to ensure clean and organizedĀ office.Ā 

  • Respond to all work ordersĀ in a timely manner, ensuring KPI compliance and excellent customer service.Ā 

  • Provide direction/information to vendors, facilities staff, and service providers asĀ requiredĀ to ensure excellent coordination/execution of work within client environment with minimalĀ disruptionĀ 

  • Coordinate the delivery of site amenities and support moves asĀ required, acting as theĀ siteĀ key point of contact.Ā 

  • Provide coordination and support events,Ā meetingĀ and conference facilities asĀ required.Ā 

  • IdentifyĀ opportunities for improved operation and service excellence, making recommendations for conduct site inspections and assessments to ensure all building procedures and performance measures areĀ alwaysĀ maintainedĀ and the provision of a safe workplace.Ā 

  • AssistĀ withĀ asset data entry and updates into the CMMS platform;Ā update andĀ maintainĀ accurateĀ records and official documentation for the site/sĀ .Ā 

  • Testing of CMMS functionalities as neededĀ 

  • AssistĀ with the creation and dissemination of reports andĀ requiredĀ 

  • Deliver an exceptional quality of service, as reflected by client feedback.Ā 

Desired experienceĀ and technical skillsĀ Ā Ā 

RequiredĀ Ā 

  • 2+ years’ experience with Facility or Property AdministrationĀ 

  • GED or High school diplomaĀ 

  • Superior customer service skills and orientationĀ 

  • Excellent listening, verbal, and written communication skillsĀ Ā 

  • Ability to multi-task, plan and manage under time constraintsĀ 

  • Proficient in MS Office and MS Share Point;Ā must be proficient at Excel Spreadsheets and have capability of customizing administrative reportsĀ 

  • ComputerĀ proficiencyĀ in CMMS/Work Order systemsĀ 

  • US citizenship isĀ requiredĀ for this position due to government contract requirementsĀ Ā

Estimated compensation for this position:

75,000.00 – 82,000.00 USD per year

This range is an estimate and actual compensation may differ. Final compensation packages are determined by various considerations including but not limited to candidate qualifications, location, market conditions, and internal considerations.
