Purpose

The purpose of the Shipping and Receiving Clerk is to coordinate all inbound and outbound shipments, maintain accurate logistics records, and ensure compliance with company shipping and documentation procedures.

Areas of Responsibility / Tasks

The Shipping and Receiving Clerk ensures daily operations run smoothly by completing reports, paperwork, and shipments on time. This is achieved through effective communication with drivers, vendors, and internal teams, promoting efficiency and organization. The role demands strong organizational skills, attention to detail, and excellent communication abilities, along with the ability to solve problems and multitask in a fast-paced environment.

Essential Functions:

1. Check in all drivers, visitors, and contractors upon arrival.

2. Weigh and document all inbound and outbound loads.

3. Coordinate shipment schedules and communicate with internal departments.

4. Prepare and verify Bills of Lading (BOL) and shipment documentation.

5. Review and validate paperwork from logistics leads and forklift operators.

6. Track trailer movements and update the Daily Truck Tracker.

7. Maintain inbound/outbound load reports in Excel and SharePoint.

8. Send daily order and shipment updates to Quality, Accounting, and Logistics teams.

9. Submit all logistics paperwork to Accounting by 3:00 p.m. daily.

10. Scan and upload all inbound/outbound paperwork to the G-drive.

11. Use NAV and SharePoint to process receivers, generate tags, create sales orders, and update TLDs.

12. Receive and record chemicals, packaging materials, and parts as required.

13. Generate Freight Purchase Orders and schedule shipments (OTR, Rail, LTL, and Bulk).

14. Confirm daily pickups with carriers and manage FedEx shipments (domestic and international).

15. Send daily Certificates of Analysis (COA) to designated personnel.

16. Conduct cycle counts and assists with inventory accuracy.

17. Provide coverage and communicate customer or carrier updates as needed.

18. All other duties as assigned.

Minimum Qualifications/ Education / Experience / Certifications

1. Education:

a. High School Diploma (or GED or High School Equivalence Certificate).

b. Some vocational or community college with related coursework or equivalent experience preferred.

2. Experience:

a. Minimum of 2 years of experience in shipping, receiving, or logistics within a manufacturing or warehouse environment.

b. Proficient in Microsoft Office (Excel, Outlook, Word) and experience using ERP systems such as NAV or similar platforms.

c. Strong organizational skills with the ability to manage multiple priorities and meet deadlines. 

d. Excellent communication and interpersonal skills for effective coordination with drivers, vendors, and internal departments.

e. Detail-oriented with a commitment to accuracy, safety, and quality compliance.

3. Licences / Certifications:

a. N/A

4. Language:

a. Proficiency in English required

b. Bi-Lingual – Spanish is a plus 


Schedule: 

Monday - Friday, 6:00am - 2:30pm

Overtime, including weekends and holidays as needed
