Overview:

We are seeking an experienced and detail-oriented AP Specialist / Accounting Assistant to manage all aspects of the accounts payable workflow as well as providing support to the finance department.

 

The ideal candidate is highly organized, analytical, and comfortable working in a deadline-driven environment. This position plays a key role in maintaining accurate financial records and supporting overall accounting operations.

 

Key Responsibilities:

  • Process vendor invoices through the accounts-payable workflow, including securing approvals, verifying and maintaining documentation, and ensuring timely payment.
  • Manage credit card workflow, matching transactions with bank feeds, collaborating with credit card users to ensure receipts are uploaded.
  • Reconcile credit card, bank and vendor statements; obtain supporting documentation as needed.
  • Respond professionally to vendor inquiries while maintaining positive working relationships.
  • Prepare and distribute job cost reports for Project Managers.
  • Create intercompany invoices.
  • Provide backup support for payroll processing.
  • Request and track certificates of insurance for new equipment and vehicles.
  • Maintain and update equipment documentation records.
  • Provide general administrative support to the finance department.

Qualifications & Requirements:

  • High school diploma or GED required, associate degree in accounting or related field preferred.
  • Minimum of 4 years of experience in accounts payable and accounting.
  • Proficiency in Microsoft Office (Excel experience preferred) and accounting software.
  • Strong numerical aptitude with exceptional accuracy and attention to detail.
  • Proactive and assertive, able to handle vendor calls directly and professionally.
  • Excellent written and verbal communication skills.
  • Strong organizational skills, with the ability to manage time, multiple priorities, and meet deadlines.
  • Self-motivated, able to work independently and collaboratively.
  • Team player.

 

Work Environment:

  • On-site office setting.

  • Occasional moderate noise levels.
