PURPOSE/SUMMARY


YWCA Rochester & Monroe County is on a mission to build a culture of philanthropy that advances our work and deepens our impact in the community. We are seeking an organized, detail-oriented, and thoughtful Development Coordinator to join our Development team.


In this role, the Development Coordinator will support and execute key fundraising operations and systems, including data management, donor engagement activities, events, and annual fundraising. With both creativity and precision, this individual will help tell the story of YWCA’s impact while ensuring the systems and processes that support our fundraising efforts are strong, accurate, and effective. This is a critical team member who plays a central role in strengthening the organization’s fundraising infrastructure and donor experience.


Reporting to the Vice President of Development, the ideal candidate will take ownership of core operational and engagement functions within the development program and bring a high level of accountability, organization, and initiative to their work. They communicate clearly and thoughtfully, are open to feedback, and can manage multiple priorities in a fast-paced environment with professionalism and care. This role is well-suited for someone eager to grow in the field of development, and will have the latitude to own systems and refine development processes to improve efficiency and consistency. The hired candidate will have opportunities to build skills in event execution, prospect research, building a donor pipeline, moves management, and/or donor relations. 


AREAS OF OWNERSHIP

  1. Database & Systems Management (Primary)

The Development Coordinator serves as the backbone of our fundraising operations, ensuring our data, systems, and processes run smoothly and reliably. Through thoughtful management of our CRM, reporting, and gift processing, this role helps translate day-to-day activity into clear insights that strengthen donor relationships and support strategic decision-making. Key responsibilities include:


CRM Management:

  • Enter and maintain constituent records, gifts, pledges, and interactions 
  • Maintain data integrity, cleanliness, and standardization 
  • Manage list segmentation and group creation for appeals and communications 
  • Track donor pipelines, engagement activity, and event participation.

Reporting & Analysis:

  • Build and maintain reports and dashboards (donations, pledge payments, events, financials, etc.) 
  • Analyze donor and campaign data to identify trends in retention, upgrades, lapses, reactivation, etc.
  • Provide insights and recommendations to support strategic fundraising goals. 

Gift Processing & Reconciliation:

  • Process and record all gifts and payments in a timely and accurate manner 
  • Maintain documentation for sponsorships, major gifts and other essential donor activity 
  • Partner with Finance to support gift reconciliation and reporting.

Prospect Research:

  • Conduct basic donor/prospect research and screening 
  • Identify and flag major gift and planned giving prospects for leadership.


  1. Donor Engagement and Annual Fundraising Support (Secondary)

The Development Coordinator helps bring donor engagement and annual fund efforts to life through thoughtful stewardship, clear communication, and well-executed campaigns and events. This role ensures donors feel seen, appreciated, and connected to the impact of their giving. Key responsibilities include:


Donor Engagement:

  • Support and execute donor stewardship and communication efforts, including timely and accurate gift acknowledgments
  • Assist in the planning and execution of fundraising and engagement events, including logistics coordination, ticketing and guest tracking, seating management, sponsorship fulfillment, and post-event reporting
  • Provide direct support for key organizational events, including the Empowering Women Luncheon and smaller-scale fundraising salons.

Annual Fund:

  • Coordinate and implement annual fund campaigns (e.g., Adopt-a-Family), ensuring timely execution and alignment with organizational goals
  • Support donor segmentation efforts to enable targeted and effective outreach. 
  • Assist with email campaign development and deployment
  • Track campaign performance and maintain accurate reporting on annual fund activities and outcomes.

 

QUALIFICATIONS & SKILLS

  • Bachelor’s degree in a related field (e.g., nonprofit management, communications, marketing, business) or equivalent combination of education and experience 
  • Minimum of two (2) years of experience in development, fundraising, or a related role, preferably in a non-profit setting 
  • Strong organizational and project management skills, with the ability to manage multiple priorities and meet deadlines
  • Excellent written and verbal communication skills, with the ability to produce clear, professional correspondence and reports 
  • Experience working with CRM or fundraising databases and proficiency in Microsoft Office (Word, Excel, Outlook)
  • Experience maintaining and managing systems (e.g., CRM, reporting, campaign tracking), with the ability to take ownership of processes, ensure data integrity, and continuously improve workflows 
  • Strong attention to detail and accuracy, particularly in data entry, reporting, and gift processing 
  • Ability to work both independently and collaboratively across teams 
  • Strong interpersonal skills, with the ability to communicate effectively and professionally with donors, colleagues, and community partners
  • Familiarity with fundraising practices, donor engagement, and/or the nonprofit sector 
  • Demonstrated alignment with the mission and values of YWCA, including a commitment to equity, inclusion, and social justice.


WORK ENVIRONMENT


This position operates in a typical office environment with low to moderate noise levels. This is a full-time position requiring 37.5 hours per week. Occasional evening and weekend hours may be required to support events and organizational needs, and flexibility in scheduling is expected. A valid New York State driver’s license and access to a reliable vehicle are required.
