The referenced pay range represents the minimum and maximum compensation for this job. Individual annual salaries/hourly rates will be set within the job's compensation range, and will be determined by considering factors including, but not limited to, market data, education, experience, qualifications, expertise of the individual, and internal equity considerations.

Responsibilities:

With minimal direction and considerable latitude for independent judgement, performs complex secretarial, administrative and physician support duties, in a fast-paced environment with minimal direction and considerable latitude for independent judgement, in support of the clinical, educational, and academic programs. Responsibilities include time and calendar management to ensure daily manageability, telephone triaging and management, and information/data support. The people we serve are affected by serious neurologic illness and appreciate support from our whole team. We are thus looking for someone who enjoys interacting with people, is committed to caring, and can practice compassion and patience.

ESSENTIAL FUNCTIONS

Division Provider Assistance:

  • Serves as primary contact for provider(s). Manages provider(s) calendar, prioritizes appointments and meetings based on provider preferences. Chooses and recommends among competing demands.
  • Frequently composes, edits and obtains signatures for non-routine letters of correspondence related to appeals on denied claims.   This includes compiling all necessary information and drafts for provider signature.
  • Manages all incoming mail for faculty and advances practice providers assuring that all correspondence receives timely attention and is following up appropriately.

Clinical Support:

  • Reviews clinical schedules to identify opportunities for improved efficiency and provider optimization.
  • Triages telephone calls and messages from patients and referring physicians to faculty and nurse practitioners. Personally interfaces with callers to ensure needs are met, managing and/or resolving various scheduling/coordination issues and answering questions as needed.
  • Researches and gathers medical record information for requests from physicians, patients, insurers, and legal entities.
  • Manages e-Record inbasket tasks as well as the provider wait lists and recall lists.
  • Provides cross coverage for other divisions as needed for vacations, medical leaves, etc.

Other Clerical Responsibilities

  • Helps maintains meeting minutes for all Neuroimmunology meetings. 
  • Helps plan and organize Neuroimmunology events-some taking place outside of normal business hours.
  • Provides assistance and cross coverage for Department Coordinator

Other projects and job duties as assigned.


MINIMUM EDUCATION & EXPERIENCE

  • High School diploma required
  • 2 years of relevant experience required
  • Or equivalent combination of education and experience


KNOWLEDGE, SKILLS AND ABILITIES

  • Demonstrated customer relations skills required
  • Medical Terminology, experiences with surgical/appointment scheduling software (such as Flowcast), and electronic medical records preferred
  • Demonstrated ability to work independently using high level decision making skills preferred.
  • Strong customer relations and interpersonal skills preferred.
  • Strong attention to detail and organizational skills preferred.
  • Strong interpersonal and communication skills, including written communication preferred.
  • Technical proficiency in Microsoft Office programs, eRecord, etc preferred.
