About the Role
We are seeking a detail‑oriented and customer‑focused Medical Scheduling Coordinator to support the coordination of medical examinations and related services. In this role, you’ll serve as a key point of contact between physicians, clients, and examinees—ensuring appointments are scheduled accurately, communications are clear, and services run smoothly.
This is an excellent opportunity for someone with medical scheduling or healthcare call center experience who thrives in a fast‑paced, service‑driven environment.
**This is a hybrid role that will require 1 day onsite in Rockford, IL weekly. Training will be 1 month fully onsite***
What You’ll Do
- Schedule medical examinations using internal database systems
- Coordinate and confirm appointment dates and times with physicians’ offices
- Communicate with clients and examinees regarding scheduling, physician CVs, appointment changes, cancellations, no‑shows, and receipt of medical records or images
- Confirm receipt of records for review referrals
- Prepare and send daily exam notification letters
- Serve as a liaison between physicians, clients, and examinees to ensure seamless communication
- Submit client invoices or billing issues to accounting when applicable and ensure required pre‑payments are collected
- Coordinate ancillary services such as interpreters, chaperones, transportation, and exam site rentals as needed
- Respond to inquiries regarding report status or additional information
- Provide support to other offices and team members as needed
- Arrange lodging and transportation for out‑of‑town examinees
- Process incoming and outgoing mail, deliveries, and shipments
- Participate in required training and educational activities
Required Qualifications
- High school diploma or equivalent
- Minimum of one year of related experience (medical scheduling, healthcare call center, or similar), or an equivalent combination of education and experience
- Proficiency with computers and Microsoft Office (Word, Excel, Outlook)
- Strong data entry skills with attention to detail
Preferred Qualifications
- Experience working in a medical office environment
- Ability to manage multiple phone lines in a high‑volume setting
- Typing speed of at least 35 words per minute

Job Type & Location
This is a Contract to Hire position based out of Rockford, IL.
Pay and BenefitsThe pay range for this position is $16.25 - $16.25/hr.
