Overview

The Operations Administrator provides administrative support to the Operations department. Tasks vary from updating & maintaining core systems to scheduling. Also, includes helping to assign Superintendents & Oversights, ensuring our Field Staff have remote support, creating tasks and managing the workflow of the task system, and to manage resource allocations. 


Responsibilities

  • Track manpower requests and review for accuracy.
  • Ensure sufficient manpower and materials for each site.
  • Follow up with Project Management teams and sub-departments within Operations on material & labor.
  • Organize and maintain core systems (Dtools, Connecteam, WIP, Plangrid, etc.).
  • Create and manage filing systems for easy access.
  • Prepare and distribute project-related correspondence.
  • Maintain Foremen, Superintendent and Field Engineer assignment to specific projects and project management teams.
  • Assist with Time Sheets, assignments, scheduling evaluations and/ or Training as well as other weekly processes as necessary.
  • Prepare departmental reports from Dtools, Foundation & our Scheduling Software/Connecteam
  • Provide general administrative assistance to Operations Sub-departments.


Qualifications

  • Associate degree or 1 year of administrative experience.
  • Strong organizational skills with the ability to manage multiple tasks, deadlines, and priorities efficiently.
  • Excellent written and verbal communication skills for effective interaction with team members, contractors, and clients.
  • Keen attention to detail to maintain accurate records, documents, and reports.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), and document management systems.  Experience with Database software is a plus.
  • Ability to identify issues, troubleshoot, and find solutions promptly.
  • Capacity to work effectively in a team-oriented environment, collaborating with diverse professionals.
  • Ability to adapt to changing project requirements and handle unexpected challenges with composure.
  • Strong time management skills to prioritize tasks and meet deadlines consistently.
