Summary

The Sales Support Associate is an entry-level position responsible for providing accurate, timely support to customers, sales representatives, and internal teams. The role includes order entry, data maintenance, customer service support, and coordination across departments. This position provides broad exposure to Sales, Marketing, Customer Experience, Accounting, Production, Shipping, and other areas of the organization and is designed to provide opportunities for learning and professional growth.

Essential Functions

  • Provide day-to-day support to the internal Sales Team, outside Sales Representatives, and customers on assigned tasks and projects.
  • Process domestic and international sales orders in accordance with established procedures.
  • Retrieve orders from email and customer portals daily; enter purchase orders accurately and update order or tracking status as required.
  • Send credit applications to new customers and coordinate with Accounting to establish new accounts. Escalate questions regarding payment terms, credit limits, or credit issues to Accounting for review and decision.
  • Coordinate with cross-functional teams to resolve purchase order details, pricing discrepancies, revisions, and other order-related questions.
  • Verify customer account information, salesperson assignments, territory codes, pricing, and other required order details before processing.
  • Communicate with Production Scheduling and Shipping to coordinate requested shipping dates, availability, and special instructions.
  • Maintain and reconcile assigned spreadsheets, records, and required documentation to ensure information remains complete and accurate.
  • Request freight quotes when needed for specific customers, credit card orders, or other shipments.
  • Own assigned customer orders and requests from receipt through completion by proactively following up with internal teams and escalating issues when necessary.
  • Provide professional and timely communication to customers and internal stakeholders regarding order status, questions, and next steps.
  • Perform other related duties and projects as assigned.

Required Education and Experience

  • High school diploma or equivalent.
  • Basic proficiency with Microsoft Office, including Outlook, Word, and Excel; ability to learn additional software and customer portals.

Preferred Education and Experience

  • Associate or bachelor's degree 
  • Prior customer service, sales support, order entry, administrative, or related experience.

Work Environment

This job operates primarily in a professional office environment and routinely uses standard office equipment, including computers, phones, copiers, and related technology. The position regularly communicates and coordinates with employees in office, production, and shipping environments.

Physical Demands

This is primarily a sedentary role involving extended periods of computer and telephone work. The employee may occasionally be required to stand, walk, bend, stoop, reach, and lift or move items associated with normal office duties. The role requires the ability to perform detailed computer-based work and manage multiple tasks throughout the workday.

Position Type / Expected Hours of Work

This is a full-time, on-site, non-exempt position. Normal work hours are Monday through Friday, 8:00 a.m. to 5:00 p.m. Occasional overtime may be required based on business needs and will be handled in accordance with applicable wage and hour requirements.
