Position Summary:
The Purchasing Coordinator supports the Purchasing and Warehouse departments by providing
administrative support. This position works as part of team, assisting Purchasing Buyers, Warehouse Management and above, keeping things in order and undertaking clerical and secretarial duties and should have strong organizational skills and a high degree of attention to detail.
 
Essential Functions:
1. Responsible for redefining hospitality at Graton Resort & Casino while living, supporting, and promoting our values.
2. Perform responsibilities in accordance with all Graton Resort & Casino standards, policies, and
procedures.
3. Ensure adherence to all confidentiality requirements regarding all information - verbal or documented, which have been provided directly or indirectly.
4. Ensure integrity in all aspects of processes and perform assignments in a pleasant, friendly, and
professional manner at all times.
5. Onboard new vendors by gathering required documentation and submitting it to Accounting for D365 setup.
6. Create and set up new items for ordering in D365.
7. Review and process purchase orders in D365 to ensure accuracy and compliance.
8. Manage product shortages by coordinating communication between vendors and operations and
offering substitutes.
9. Manage and track vendor certificates of insurance to ensure compliance and current coverage.
10. Coordinated modified holiday ordering and delivery schedules between vendors and Operations.
11. Run reports in D365.
12. Maintain office supplies.
13. Attend and participate in all department meetings, training sessions and other sessions as directed by management.
14. Communicate professionally with various department managers, practice excellent written and verbal communication with other departments and management.
15. Adheres to all personnel and department policies and procedures.
16. Responsible for maintaining a consistent and regular attendance record; available to work at times extending beyond regularly scheduled hours.

Qualifications
Required Qualifications:
1. Ability to communicate effectively with Guests, Team Members and Management in both written and verbal form.
2. Must be 21 years of age or older.
3. Must be able to interact with others and maintain and positive and professional demeanor under
frequently fast paced work conditions.
4. Must be able to meet all assigned deadlines.
5. Must have good analytical, organizational and time management skills.
6. Must be attentive to detail, results driven, a good problem solver and have the ability to make good
decisions.
7. Must be reliable with patience and professionalism.
8. Must be proficient with Windows OS and competent in Microsoft applications including Word, Excel and Outlook. Must pass a basic Excel test.
9. High School Diploma or GED equivalent preferred, but not necessary.
 
Physical Requirements:
1. Must be able to lift up to 25 pounds.
2. Must be able to sit for the duration of shift.
3. Manual dexterity to operate job related equipment.
