Job Description

Certified QuickBooks Bookkeeper (Part-Time)

Organization: Boxwood Learning Center
Location: Remote or Hybrid (New Jersey preferred)
Schedule: Approximately 15 hours per week
Compensation: $400 per week
Status: Independent Contractor (1099)

About Boxwood Learning Center

Boxwood Learning Center is a nonprofit organization dedicated to supporting youth and young adults through education, workforce development, restorative justice programming, and community-based initiatives. Our programs include GED preparation, career pathways, mentoring, and violence prevention initiatives funded through public and private grants.

We are seeking a reliable and detail-oriented Certified QuickBooks Bookkeeper to maintain accurate financial records and support grant compliance requirements.

Position Summary

The Certified QuickBooks Bookkeeper will be responsible for maintaining accurate financial records in QuickBooks Online, ensuring proper coding of transactions, supporting grant reporting requirements, and assisting with monthly financial statements. The ideal candidate has experience working with nonprofit organizations and understands fund accounting principles.

Key Responsibilities

QuickBooks Management

  • Maintain and update financial records in QuickBooks Online

  • Properly categorize and code transactions according to funding sources

  • Reconcile bank and credit card statements monthly

  • Record payroll journal entries (ADP or other payroll system)

  • Maintain accurate chart of accounts aligned with nonprofit funding streams
  • Oversee the General ledger
  • Support auditor during audit months

Grant and Program Tracking

  • Track expenses by program, grant, and funding source

  • Assist with preparation of financial reports required by funders

  • Ensure expenses are properly allocated according to grant guidelines

  • Maintain supporting documentation for compliance purposes

Financial Reporting

  • Prepare monthly financial reports including:

    • Profit & Loss Statement

    • Balance Sheet

    • Transaction detail reports
    • General Ledger

  • Identify and correct uncategorized or unusual transactions

  • Maintain organized financial records for audit readiness

Accounts Support

  • Record vendor payments and expenses

  • Track contractor payments as needed

  • Assist with documentation needed for 1099 reporting

  • Maintain digital filing of receipts and supporting documents

Required Qualifications

  • Certified QuickBooks ProAdvisor OR equivalent QuickBooks certification

  • Minimum 2 years experience using QuickBooks Online

  • Experience working with nonprofit organizations preferred

  • Understanding of grant tracking and restricted funds

  • Strong attention to detail and accuracy

  • Ability to maintain confidentiality

  • Strong organizational skills

Preferred Qualifications

  • Experience supporting nonprofit audits

  • Familiarity with fund accounting principles

  • Experience working with multiple funding sources

  • Experience with payroll journal entries (ADP or similar)

  • Ability to communicate clearly regarding financial questions

Deliverables Expected Weekly

  • Transactions categorized and reconciled timely

  • Clean and organized QuickBooks file

  • Monthly financial reports prepared by the 10th of each month

  • Identification of uncategorized transactions for review

  • Communication regarding any discrepancies

Compensation

$400 per week
Approximately 15 hours per week
