TheĀ Service OperationsĀ ManagerĀ leads the administrative and operational support functions of our field service organization.
In this highly visible role, you will oversee teams responsible for dispatching, third-party technician coordination, customer support, and service reporting while driving operational excellence and customer satisfaction. This position is ideal for a collaborative and analytical leader who thrives in fast-paced environments, values process improvement, and is passionate about building high-performing teams and scalable service operations.
This is a hybrid position primarily based out of our Global Support Hub in Rosemont, IL. Monday and Friday are remote, with Tuesday through Thursday designated as in-office collaboration days. #LI-Hybrid
As our Service Operations Manager, you will:
āOperational LeadershipĀ
- Lead and manage daily operations ofĀ multipleĀ field service supportĀ departments.Ā Ā
- Oversee dispatch, scheduling, service coordination, and customer support activities.Ā Ā
- Develop and implement operational processes thatĀ improve efficiency and service deliveryĀ and manage costs.Ā
- Monitor workflow, resource allocation,Ā customerĀ satisfaction,Ā and service-related metrics asĀ assignedĀ toĀ ensure operational goals are met.Ā Ā
- Collaborate with field service leadership to align support operations with businessĀ objectives.Ā Ā
- Align with sales leaders whenĀ appropriate toĀ ensure back-end service functions are supportingĀ finishedĀ goods sales activities and customer engagementĀ Ā
Team ManagementĀ
- Supervise and develop dispatchers, coordinators,Ā key accountĀ customer support staff, and reporting personnel.Ā Ā
- Establish performance expectations and provide coaching, training, and performance feedback.Ā Ā
- Foster a customer-focused and collaborative team environment.Ā Ā
Service Coordination & Customer SupportĀ
- EnsureĀ timelyĀ andĀ accurateĀ scheduling ofĀ both direct and 3rdĀ partyĀ field technicians.Ā Ā
- Drive proactive communication with customersĀ regardingĀ appointments, service updates, and issue resolution.Ā Ā
- Escalate and resolve customer concerns in a professional andĀ timelyĀ manner.Ā Ā
- Support continuous improvement of customer satisfaction metrics and service quality.Ā Ā
Reporting & Data ManagementĀ
- EnsureĀ accurateĀ service documentation, reporting, and data integrity within service management systems.Ā Ā
- Analyze operational data, KPIs, and service trends toĀ identifyĀ improvement opportunities.Ā Ā
- Develop andĀ maintainĀ dashboards and operational reports for leadership review.Ā Ā
- Monitor technician productivity,Ā utilization, response times, and SLA compliance.Ā Ā
Process ImprovementĀ
- IdentifyĀ and implement continuous improvement initiatives to streamline operations and reduce inefficiencies.Ā Ā
- Support implementation and optimization of field service technologies and systems.Ā Ā
- Establish andĀ maintainĀ standard operating procedures and best practices.Ā Ā
- Partner cross-functionallyĀ with operations,Ā deliveryĀ & install,Ā sales, supply chain, and finance teams.Ā
- Other projects and responsibilities as assigned
What Life Fitness / Hammer Strength is looking for in our Service Operations Manager:
Bachelorās degree in Business Administration, Operations Management, Supply Chain, or related field preferred; equivalent experience considered.Ā
- 5+ years of experience in field service operations, service coordination, dispatch management, or related operational leadership roles.Ā
- 3+ years of leadership or people management experience.Ā
- Strong understanding of field service operations, scheduling, and customer support processes.Ā
- Experience with ERP, CRM, or field service management systemsĀ specifically oracle preferred.Ā
- Experience with Power BI, Tableau, or other reporting/dashboard tools.Ā
- Strong analytical, organizational, and problem-solving skills.Ā
- Excellent communication and interpersonal skills.Ā
- ProficiencyĀ in Microsoft Office Suite, particularly Excel and reporting tools.
- Knowledge of service KPIs, SLAs, workforce management, and operational reporting.Ā
- Experience leading process improvement initiatives.Ā
