Fleet Services Administrative Coordinator


Saber Power Services,Ā a portfolio company of Greenbelt Capital Partners, is a fully integrated electrical power system services firm providing end-to-end solutions across utility, renewables and battery storage, industrial, petrochemical, and other markets. Based in Houston, Texas, Saber Power offers deep subject matter expertise and uses an engineering-led approach to designing, installing, testing, and maintaining medium and high-voltage electrical infrastructure. Saber serves clients locally, nationally, and abroad.

Saber Power ServicesĀ seeks an administrator who will work closely with the Fleet Manager, Fleet Coordinators, expeditors, Safety, Accounting, and field personnel to ensure fleet-related information, documentation, records, schedules, and communications are accurate, current, and properly maintained.

Duties and Responsibilities:

  • Maintain accurate and organized electronic and physical fleet records.
  • Maintain vehicle and equipment files, including registration, inspections, maintenance records, service documentation, and other applicable records.
  • Ensure required fleet documentation is current and properly filed.
  • Assist with tracking vehicle registrations, inspections, permits, tags, and other compliance-related documentation.
  • Maintain accurate records of vehicle assignments, mileage, equipment assignments, and department information.
  • Assist with onboarding and offboarding vehicle/equipment assignments.
  • Update fleet databases, spreadsheets, and tracking systems as information changes.
  • Identify missing, outdated, or incomplete documentation and follow up with the appropriate personnel.
  • Learn our businesses vehicle dash camera system ā€œMotiveā€, creating reports and assisting with any info coworkers may need.Ā 
  • Help assist with office needs when applicable; be a team player and help the flow of the warehouse office.
  • Writing purchase orders for warehouseĀ 
  • Shipping services for Fleet operations
  • Help assist and maintain day to day fleet expenses

Qualifications:

  • High school diploma or equivalent required.
  • 2+ years of administrative, office, operations, fleet, transportation, construction, or related experience preferred.
  • Previous fleet, transportation, construction, utility, or industrial experience preferred.
  • Experience working in a fast-paced administrative or operational environment.
  • Experience maintaining records, documentation, spreadsheets, and databases.
  • Experience with Microsoft Office, particularly Microsoft Excel and Outlook.
  • Ability to learn and utilize fleet management, telematics, maintenance, and company software systems.
  • Experience with fleet management or telematics platforms such as Motive is preferred.
  • Experience with vehicle maintenance records, work orders, invoices, purchase orders, or vendor documentation preferred.
  • Familiarity with DOT, vehicle registration, inspection, or fleet compliance requirements is preferred.
  • Must be dependable, punctual, and able to maintain regular attendance.
  • Must be able to successfully meet applicable company pre-employment requirements.
  • Ability to maintain confidentiality of company, employee, financial, and operational information.

  • Customer Service: Ability to work professionally with employees, vendors, repair facilities, and other departments.

  • Teamwork: Ability to work effectively with Fleet, Operations, Safety, Accounting, HR, and field personnel.
