General Summary: The Marketing & Events Coordinator supports the planning and execution of marketing initiatives and leads corporate events and educational programs. This position plays a key role in promoting the company’s brand, supporting business development and client relationships, and coordinating events that engage employees, policyholders, brokers, healthcare professionals, and other key stakeholders.

Essential Duties & Responsibilities:

  • Coordinate the planning and execution of EmPRO’s internal and external events, including conferences, educational programs, broker hospitality events, employee events, charity initiatives, webinars, and company-sponsored events.
  • Manage logistics including venue selection, catering, invitations, registration, attendee communications, room setup, audiovisual needs, signage, promotional materials, and on-site coordination.
  • Coordinate with internal departments, vendors, speakers, venues, and other partners to ensure successful execution of events.
  • Develop event timelines, checklists, budgets, and run-of-show documents.
  • Coordinate event budgets, track expenses, manage invoices and deposits, and assist with post-event budget reconciliation.
  • Research and evaluate new event venues while identifying opportunities to refresh and diversify existing event locations. 
  • Develop and maintain a standardized venue comparison checklist/spreadsheet capturing key site information to support consistent evaluation and decision-making.
  • Provide onsite or online support during events, addressing guest inquiries and resolving issues as they arise.
  • Gather post-event feedback and compile reports to assess event success and recommend improvements.
  • Assist in developing print and digital ads and create marketing materials that adhere to brand guidelines.
  • Manage EmPRO’s corporate swag inventory, including ordering, organizing, tracking, and distributing branded merchandise and gifts.
  • Partner with HR to plan and coordinate internal employee events and engagement initiatives. 
  • Collaborate with HR on employee events and programs that support engagement, culture, and team building.
  • Coordinate company participation in community, charitable, and industry initiatives.
  • Help develop creative ways to increase employee and stakeholder engagement with company programs and events.
  • Assist with social media accounts by creating and scheduling content, monitoring engagement, and responding to comments when necessary.
  • Collaborate with the Marketing Manager to source vendors, coordinate deliveries, prepare swag, and support event-related marketing tasks.
  • Ensure consistency across all EmPRO platforms, including social media, while supporting other marketing initiatives such as preparing PowerPoint presentations and other marketing administrative tasks.

Education & Qualifications:

  • Bachelor’s degree in Marketing, Communications, Public Relations, Event Management, Business, or a related field.
  • 3+ years of experience in marketing, communications, event planning, corporate events, or a related role required.
  • 2+ years of prior social media management experience preferred. 
  • Strong project management and organizational skills with the ability to manage multiple priorities simultaneously.
  • Experience with Canva, Adobe Creative Suite, or similar design tools.
  • Proficiency in PowerPoint, Word, and Excel at an intermediate level or higher.
  • Demonstrated writing skills with the ability to create compelling marketing content and adhere to proper grammar and style standards.
  • Strong problem-solving skills, with the ability to find creative solutions to marketing and event challenges.
  • Ability to work collaboratively across departments and communicate effectively with stakeholders at all levels.
  • Ability to maintain a cooperative, courteous, and professional relationship while speaking with other departments, employees, management and insureds; ability to communicate effectively with diplomacy and professionalism.
  • Ability to function in a professional office environment and operate standard office equipment.
  • Ability to work onsite in the Roslyn, NY office from 9:00am to 5:00pm, Monday – Friday.
  • Travel to events and venues as needed, with occasional evening and weekend work required.

The actual compensation for this position will be determined by experience and other factors permitted by law.
