Summary Description: The High School Receptionist contributes to the day-to-day operation of the school by prompt and courteous handling of all inquiries originating in the front office of the school.   Essential Functions: Answer incoming phone calls in a pleasant, informed manner for the purpose of providing and creating a good image and first impression of the school Greet all incoming students, families, and guests respectfully and professionally, determining their needs, checking scheduled appointments, and directing them to the proper person Provide general information and directions to our school community and general public Check voice mail messages left in school’s general mailbox on routine basis and distribute accordingly to appropriate personnel. Receive and distribute mail, and deliveries to recipient(s) Be knowledgeable and current on school activities, programs, and events Select appropriate channels for resolving concerns or problems as situations present themselves Require all visitors to check in on Visitu and provide appropriate passes and badges Check students in and out-issue passes and monitor requests for early dismissals Assist in all aspects of maintaining a professional front office, including but not limited to fielding and directing incoming calls to the appropriate staff member in a timely and professional manner, filing, copying, scanning of sensitive information Develop a positive, welcoming, and caring climate in the front office for parents and students Exercise responsibility for student management in the areas adjacent to the front office Train, supervise, and coordinate the efforts of the student office aides Oversee students in Health Clinic when School Nurse is not present or away from clinic Copy and organize materials for HS administration Maintain the School’s lost and found Prepare routine correspondence, reports, records and other office documents Provide general office duties when requested such as copying, filing, scanning and shredding Complete certificate of school enrollment and have notarized by school notary for students needing work and driver permits Post outgoing mail Operate postage meter, and scale and replenish postage as necessary Crosstrain with attendance to assist when needed Make necessary Public Address (PA) announcements as needed (general, security, weather) Maintain Marquis board for daily communication Maintain HS Digital Display Board communication Prepare morning announcements for students to read. Post announcements on digital boards and in google classrooms Maintain all information strips located between the restrooms on each floor (3 total). Secure the high school front office at the end of the school day In the mornings make sure the front conference room and waiting area are presentable Assist with all safety drills including fire, severe weather, and internal security drills Attend all school staff meetings Monitor gate(s), admitting entrance through gate screen Check Ready Sub each day and prepare sub folders for substitute teachers.
