The Guest Services Representative willĀ assistĀ the guests efficiently, courteously, and professionally in all front office related functions.Ā The Guest Services Representative will cover all aspects of the front office whenĀ the GeneralĀ Manager is not present.Ā 

Ā 

Essential Duties and Responsibilities:Ā 

  • Ensures reservations are taken correctly and courteouslyĀ Ā 

  • Represent hotel in a professional and courteous manner, check guests in and out inĀ a timelyĀ and efficient mannerĀ Ā 

  • Must be proficient in computer operating systemĀ 

  • AvailableĀ at all timesĀ to deal with guest issues in a professional mannerĀ 

  • Notify General Manager or equivalentĀ immediatelyĀ of any guest, employee, or cash concernsĀ Ā 

  • Provide guidance to property staff as neededĀ 

  • Ensure compliance of safety and security standardsĀ Ā 

  • Reports to Regional Operations Manager in General Manager’sĀ absenceĀ 

  • Responsible for bank deposits in General Manager’sĀ absenceĀ 

  • IdentifyĀ and follow up on life/safety issues and inspection issuesĀ 

  • Notify General Manager or equivalentĀ immediatelyĀ of any safety and/or security violations of policyĀ 

  • Leave all desk and office areas in a clean and neat mannerĀ 

  • Take responsibility forĀ ensuring that property is always clean and free of any trash and debrisĀ

Essential Qualifications:Ā 

  • Possess a valid driver’s license, current autoĀ insuranceĀ and a functioning automobileĀ 

  • Ability to read, understand, interpret information found in a variety of reports and other internal hotel informationĀ Ā 

  • Read, speak,Ā writeĀ and understand the English language to interact with guests, staff, handle administrative duties, etc.Ā 

  • Sufficient mathematical skills to calculate room revenue, average rate, occupancyĀ percentageĀ and count and balance a cash bank, etc.Ā 

  • General computerĀ proficiencyĀ 

  • Possess thorough knowledge of Front Office and related department operations, service standards and techniques, guest relations and etiquette, upselling techniques, to ensure the effective operation of the front office and related departments (examples include providing high level of service, effective staff training, proficient problem solving, effective cost controls, etc.).Ā 

  • Possess the knowledge and ability to perform a variety of front office and related positions in response to business needsĀ 

  • Ability to compose and express thoughts concisely to ensure effective communicationĀ 

  • Ability and flexibility to work long hours on a regular basis and as business conditions demandĀ 

  • Ability to manage multiple activities often in stressful situations with time constraintsĀ 

  • Ability to use time management skills to effectively get task accomplishedĀ 

  • Ability to make effective judgment on allĀ facetsĀ of front office operations and staff, and the ability to effectively solve guest and operational problemsĀ

Work Environment and Physical Requirements:Ā 

  • Indoor work with hard and carpeted surfacesĀ 

  • Standing for up to eight (8) hour shiftsĀ 

  • Must be able to remain in a stationary position 50% of the timeĀ 

  • Occasionally required to sit; climb, balance; stoop, kneel, crouch or crawlĀ Ā Ā 

  • MustĀ frequentlyĀ lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 poundsĀ Ā 

  • Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depthĀ perceptionĀ and ability to adjust focus.Ā 

  • Extensive use of hands and fingers for manipulation of keyboard, answering phone calls, calculator, copy machine, computerĀ printerĀ and other office productivity machinery.Ā 

  • May be exposed to extreme weather conditions, cold, heat, rain if at an exterior propertyĀ 

  • Use ofĀ computerĀ terminal, which requires extensive eye contact with a video display terminal.Ā 

  • The person in this positionĀ frequentlyĀ communicates with employees/vendors.Ā MustĀ be able to exchangeĀ accurateĀ information in these situations.Ā 

  • Travel to other properties within the market and to the bankĀ
