HR Employee Support & Training Administration Specialist

Position Summary: 

 

The HR Employee Support & Training Administration Specialist is to ensure all employee issues are professionally and confidently addressed, per guidance of the HR Manager. With a focus of all aspects of company compliance training, in order to educate employees, maintain documentation, conduct gap analysis, and ensure training on updated procedure, policies and work instructions, that align with regulatory requirements and international frameworks. designs, develops, and delivers training programs on ISO standards (such as 9001, 14001, 45001) to ensure organizational compliance and quality improvement. 


Secondary focus of this role, is to provide general employee support, back up for payroll processing, assist with employee benefit plans and benefit administration, front desk backup and other HR related responsibilities, as assigned by the Human Resources Manager.

 

Expected Work Schedule / Shift: 

  • Monday – Friday – 7:30a – 4:30p
  • Required attendance on bi-weekly payroll weeks (when Payroll Specialist is out of office)
  • Occasional Flexibility in work schedule with prior advance notice and approval of HR Manager
  • Required Overtime based on business / staffing requirements

Physicality:

  • Routine/Normal physical activity for this type of office-based position
  • Routinely lift, push, pull items up to 25 lbs.
  • Sit/Stand/Walk throughout work day


Education / Skills:

  • High School Diploma 
  • Associate or BS or BA Degree in Business Administration, or other related 
  • 2+ years’ experience in Corporate Training / Education
  • Certification in Career Field preferred (Comp/Benefits, Payroll, HR)
  • Experience with multi-level payroll and benefits (value add)
  • 401k and other deferred compensation Plan oversight (value add)
  • Cornerstone LMS system experience preferred
  • ADP Workforce Now experience preferred
  • Excellent Communication Skills
  • Computer Skills (MS Office, ADP other related applications)
  • Ability to work with others and in team environment, or as an individual
  • Time management


Backup Payroll, Compensation and Benefits

 

  • Accurate processing of employees’ payroll through ADP on a bi-weekly basis as well as uploading, editing and amending payroll and benefits for all new and existing employees.
  • ADP payroll system Administrator / Practitioner
  • Provide support to employees regarding payroll and compensation
  • 401k Plan Administration and other deferred compensation plans - file maintenance, loans, compliance, and employee support 
  • Maintain compliance with applicable agencies – EEOC, UI, DOL, DES, IRS, Taxes, W2, 1095 Cs, etc.
  • Filing of HR compliance reports including EEO-1, VETS, Plan 5500s, UI requests, 941 quarterly taxes, etc.
  • Review and audit HR related invoices from employee benefit programs and liaison with Finance Department
  • Liaison with Finance Department as related to payroll processing
  • Ensure the leave allocations are correctly represented in employee payroll. (Worker’s Compensation, FMLA, Medical Absences, Vacation, Sick leave)
  • Assist with Administration of Company Benefits, verify deductions and changes in coverages’ as they related to payroll, annual Open Enrollment activities


General HR Responsibilities

  • Administering employee records, ensuring compliance with labor laws and regulations and development, quality and safety initiatives. 
  • Manage and provide employee assistance with special leave requirements including, FMLA, ADA, STD/LTD and other instances of medical leave (Provider documentation etc)
  • Maintain employee files and records in electronic and paper form.
  • Provide support to the HR Department with various programs, tasks and assignments, such as reception coverage, and assigned projects
  • HR Projects as assigned by HR Manager


Training Administration Specialist:

 

Key Responsibilities

 

  • Training Development & Delivery: Create training materials, manuals, and online modules for ISO standards, ensuring employee awareness and competence.
  • Identify areas of training needs and create training / competency testing to ensure all staff are trained in the required areas, procedures and processes and validate learning via competency evaluations
  • Training Reporting – Develop reports and a schedule for disseminating training reports to Plant Manager, HR Manager and Ops Team to facilitate knowledge of staff training compliance.
  • Compliance & Documentation: Monitor changes in procedures, and ensure documentation aligns with relevant compliance requirements
  • Training Auditing & Gap Analysis: Perform internal audits to ensure ongoing compliance, identifying gaps and developing corrective action plans, that focus on training and re-training.
  • LMS System Management/Administration – become the LMS Expert to ensure the accuracy of the data, provide LMS training as needed, work with the LMS vendors to address issues, obtain updates and ensure the LMS system is kept up to date and audit ready.
