Creative Production Coordinator

Schedule: Monday–Friday, with occasional evenings/weekends for special events
Reports to: Creative Director, Brand & Experience
Pay: $24-30/hour
The Role
Pali Mountain is building a new Experiential Marketing team focused on one thing: bringing our brands to life in the real world. From immersive environments and large-scale activations to events, property transformations, branded moments, and unexpected details, our job is to create experiences people actually remember.
We’re looking for a Creative Production Coordinator who wants to help make those ideas happen. This is a hands-on role for someone who is organized, resourceful, curious, and energized by figuring things out. One day you might be tracking budgets and vendor quotes, the next sourcing a wildly specific prop, coordinating a building-sized install, testing a product sample, or jumping into an installation because that’s what it takes to get the final experience right.
You’ll work directly with the Creative Director, Brand & Experience to take approved concepts from “What if we did this?” to “It’s happening” to “WOW!”
We’re not looking for someone who needs every step mapped out. We’re looking for someone whose natural response to a challenge is: “I’ll figure it out.”
And when the job is technically done, your next thought should probably be: “How can we take this one step further?”
What You'll Do
- Coordinate creative projects, activations, and events from approved concept through execution
- Source props, décor, materials, and production solutions
- Research vendors, request quotes, and coordinate orders and deliveries
- Maintain project timelines, track approved budgets and purchasing details, and flag potential production risks or delays
- Coordinate installation logistics including setup, breakdown, returns, storage, and post-project organization
- Maintain organized inventory of props, décor, and reusable activation assets
- Coordinate production needs across internal teams including Marketing, Media, Operations, Maintenance, Programs, Food & Beverage, and other departments as needed
- Support the coordination and production of brand partnerships, creator visits, and branded activations as opportunities develop.
- Use CRM, Microsoft, project management, and AI tools for research, sourcing, planning, documentation, organization, and production workflows
- Jump in wherever needed to help get the final experience across the finish line
Who We're Looking For
- Thinks beyond the basic ask and naturally looks for ways to elevate an idea or experience
- Takes initiative, follows through, and is comfortable working through ambiguity while staying aligned with established creative direction and priorities
- Stays flexible and solution-oriented when plans change
- Highly organized, comfortable keeping multiple projects and vendors moving at once
- Comfortable moving between computer-based coordination and hands-on production
- 1–3 years in creative production, events, experiential marketing, or a related field
- Comfortable with Microsoft Office, CRM, and project management tools (Monday.com a plus), and comfortable using AI tools
- Valid driver's license required
A college degree is not required. Relevant experience, initiative, and demonstrated ability to get things done matter more.
Work Environment
This is a fully on-site role at our mountain campus in Running Springs, California. Expect walking across a large campus, working indoors and outdoors in changing mountain weather, and lifting or carrying materials, props, and event supplies. Some projects involve climbing ladders or working at heights, and occasional local driving for supply runs. Hands-on support is part of the role, but specialized construction, electrical, rigging, elevated, or technical installation work will be completed by appropriately trained staff or vendors.
