The Executive Office Manager is a trusted partner to the CEO and business owners, providing high-level administrative, operational, and strategic support with strict confidentiality and discretion. This role oversees executive office operations, coordinates business and family matters, and manages multiple properties to ensure seamless executive support.

Working directly with the CEO and in partnership with the CFO, this position aligns administrative, operational, and financial priorities. The role attends monthly executive leadership meetings and serves as a primary liaison with executive leaders, family stakeholders, vendors, and external partners.

Key Responsibilities

  • Manage the CEO’s calendar, communications, scheduling, and priorities; act as gatekeeper and primary liaison.
  • Coordinate Executive Leadership Team meetings (agenda, logistics, notes, and action-item follow-up) and support Board and family meetings.
  • Oversee operations and maintenance for all company properties, including upkeep, cleaning, and grounds.
  • Supervise the Maintenance Manager and coordinate vendor scheduling, preventative maintenance, and repairs (including HVAC and fire extinguisher compliance).
  • Purchase and manage office/facility needs (furniture, equipment, supplies) and coordinate seasonal decorating.
  • Coordinate executive travel and logistics (including aircraft requests, conferences, and interview travel for candidates).
  • Manage registrations and logistics for corporate events and participation (banquets, tournaments, fishing, and duck hunting events).
  • Serve as Bank Administrator; administer corporate credit card programs and coordinate AP approvals with the CFO.
  • Administer select recurring accounts
  • Manage fleet administration (vehicle acquisition/sale/trade, IFTA tags/permits, and driver MVRs).
  • Oversee annual state renewals (Louisiana and Delaware) and support ongoing administrative/regulatory compliance.
  • Lead employee engagement and celebrations (monthly birthdays; annual Thanksgiving luncheon and Christmas party).

Qualifications

  • Bachelor’s degree in business administration (or related field) preferred.
  • 7–10 years supporting C-suite leaders in executive support/office management roles.
  • Exceptional discretion with confidential information; strong judgment and executive presence.
  • Strong organization, project management, and multi-site operations coordination skills.
  • Clear, professional communication and relationship management skills.
  • Financial/administrative aptitude; proficient in Microsoft Office and related business systems.
