Position Overview

The Claims & Risk Administrator supports Paraco's risk management program by coordinating the administration of Auto Liability, General Liability, and Workers' Compensation claims from initial incident reporting through resolution. This role serves as the primary liaison between Operations, Safety, Human Resources, insurance carriers, third-party administrators (TPAs), brokers, legal counsel, and employees to ensure timely reporting, accurate documentation, effective communication, and regulatory compliance.


The position also coordinates the Company's DOT Drug and Alcohol Testing Program, ensuring quarterly random testing is administered in accordance with Department of Transportation (DOT) regulations and company policies.


Key Responsibilities


Claims Administration

  • Coordinate the reporting of Auto Liability, General Liability, and Workers' Compensation claims to insurance carriers and third-party administrators.
  • Collect, review, and maintain accident reports, witness statements, photographs, police reports, medical documentation, and other supporting claim information.
  • Monitor open claims, track key milestones, and communicate regularly with carriers, TPAs, brokers, legal counsel, and internal stakeholders.
  • Maintain complete and organized electronic claim files and ensure required documentation is submitted within established timelines.
  • Coordinate claim-related meetings, assist with claim closure activities, and escalate significant issues to management as appropriate.


DOT Drug & Alcohol Testing Administration

  • Coordinate the quarterly DOT random drug and alcohol testing program with the Safety team, operational leaders, testing vendors, and collection sites.
  • Distribute testing selections, monitor completion within required timeframes, and follow up on outstanding or time-sensitive testing requirements.
  • Maintain accurate and confidential testing records, including selections, collection activity, completion status, and supporting documentation.
  • Resolve scheduling, documentation, and testing-related issues, escalate exceptions as appropriate, and assist with compliance reconciliation and reporting.


Investigation & Documentation

  • Support Safety and Operations with incident investigations by gathering documentation and maintaining investigation records.
  • Follow up with internal departments to obtain missing information and ensure timely claim reporting.
  • Maintain organized records to support audits, litigation, insurance renewals, and regulatory requirements.


Cross-Functional Collaboration

  • Serve as the primary administrative contact for Safety, Human Resources, Operations, insurance carriers, TPAs, brokers, legal counsel, medical providers, and employees regarding claims administration.
  • Support Human Resources with return-to-work documentation and communication.
  • Prepare claim status reports and respond to routine inquiries from internal stakeholders.


Claims Reporting & Risk Support

  • Maintain reports tracking open claims, claim aging, claim activity, and loss trends.
  • Prepare historical claims information and loss runs for insurance renewals.
  • Support broker and carrier stewardship meetings and assist with risk management reporting and special projects.
  • Provide claim trend information to support safety and loss prevention initiatives.


Compliance

  • Support compliance with Workers' Compensation reporting requirements, DOT drug and alcohol testing regulations, and company policies.
  • Assist with OSHA recordkeeping documentation as needed.
  • Maintain confidential medical, legal, personnel, and testing records in accordance with company policies and record retention requirements.


Desired Skills & Experience

  • Three to five years of experience in claims administration, insurance, risk management, safety, human resources, or a related administrative role.
  • Experience with Workers' Compensation, Auto Liability, General Liability, or casualty claims preferred.
  • Experience coordinating DOT drug and alcohol testing or other regulatory compliance programs is preferred.
  • Familiarity working with insurance carriers, brokers, third-party administrators, testing vendors, or regulatory agencies.
  • Strong organizational, analytical, and problem-solving skills with exceptional attention to detail.
  • Excellent written, verbal, and interpersonal communication skills.
  • Proficiency in Microsoft Office, particularly Outlook, Excel, and Word.
  • Ability to prioritize multiple responsibilities, work independently, and maintain confidentiality.
  • Associate's or Bachelor's degree preferred, or an equivalent combination of education and experience.


Working Conditions

  • Position may be on-site or hybrid based on business needs.
  • Occasional travel to company locations to support incident investigations, claims administration, or compliance activities.
  • May occasionally respond to significant incidents outside normal business hours.
