Maintenance Systems Coordinator

Non-exempt

Position Summary

Supports the Maintenance Department through Asset Essentials administration, preventive maintenance tracking, vendor coordination, purchasing support, reporting, and maintenance documentation. This position supports multiple facilities and may travel periodically to assist with maintenance operations, asset management, documentation projects, vendor coordination, system implementations, and continuous improvement initiatives.

Essential Responsibilities

•    Maintain asset records, work order documentation, manuals, drawings, and equipment history within Asset Essentials.

•    Support PM scheduling, tracking, reporting, and documentation.

•    Coordinate vendors and contractors, schedule service visits, and follow up on open actions and deliverables.

•    Create and track maintenance purchase orders and assist with maintenance cost reporting.

•    Maintain maintenance-related documentation including equipment records and LOTO files.

•    Develop and distribute maintenance reports, dashboards, and KPI metrics.

•    Support maintenance projects, asset management initiatives, and continuous improvement efforts.

•    Provide administrative and systems support across multiple facilities.

•    Travel to company locations as needed to support maintenance operations and projects.

•    Perform other duties as assigned.

Required Qualifications

•    Associate degree or equivalent experience in business, technology, maintenance, or operations support.

•    Experience in administration, maintenance planning, CMMS/EAM systems, purchasing, project coordination, or operations support.

•    Strong organizational, communication, and analytical skills.

•    Ability to manage multiple priorities with minimal supervision.

•    Experience working with maintenance management software (CMMS/EAM).

Technical Skills

•    Advanced Microsoft Excel including XLOOKUP, INDEX/MATCH, PivotTables, Power Query, reporting, and data analysis.

•    Advanced Microsoft Word for procedures, forms, templates, and documentation.

•    Microsoft Outlook including email management, calendar coordination, and professional communications.

•    Experience managing assets, work orders, PMs, and reporting within a CMMS/EAM system.

Preferred Qualifications

•    Experience with Asset Essentials or similar CMMS platforms.

•    Experience supporting manufacturing, facilities, or maintenance organizations.

•    Experience with maintenance purchasing, vendor coordination, and KPI reporting.

•    Microsoft Office Specialist (MOS) Expert certification in Excel and Word highly preferred.

•    Experience with Power BI or other business intelligence platforms preferred.

Work Environment

This position operates in both office and manufacturing floor environments. Exposure to noise, machinery, temperature variation, and industrial conditions may occur when accessing plant areas.
