Job Summary

The Administrative Assistant at St. Gabriel the Archangel Catholic School provides essential clerical and administrative support to ensure the efficient daily operations of the school office. This role serves as a primary point of contact for students, families, staff, and visitors while supporting the mission, values, and Catholic identity of the school through professionalism, organization, and effective communication.

Essential Duties and Responsibilities

  • Provide administrative and clerical support to the school principal and administrative team.
  • Greet visitors, students, and families in a professional and welcoming manner.
  • Answer and direct phone calls, emails, and general inquiries promptly and courteously.
  • Maintain accurate records, files, and confidential documents in accordance with school policies.
  • Assist with student attendance, enrollment documentation, and record management.
  • Support scheduling, calendar coordination, and preparation for meetings and school events.
  • Prepare correspondence, reports, forms, and other documents as requested.
  • Assist with school communications, including newsletters, emails, and internal notices.
  • Manage office supplies and support day‑to‑day office organization.
  • Collaborate with faculty, staff, and administration to support school operations.
  • Uphold confidentiality and comply with diocesan, school, and legal guidelines.
  • Support the Catholic mission and values of St. Gabriel the Archangel Catholic School through respectful conduct and service.
  • Perform all other duties as assigned.

Qualifications

  • High school diploma or equivalent (required); associate’s or bachelor’s degree preferred.
  • Prior experience in an administrative or office support role (preferred).
  • Strong organizational, communication, and interpersonal skills.
  • Proficiency with standard office software and equipment.
  • Ability to manage multiple tasks efficiently and maintain attention to detail.
  • Professional demeanor and ability to work collaboratively with staff, students, and families.
  • Commitment to Catholic education and willingness to support the mission of St. Gabriel the Archangel Catholic School.
