Position Summary
The Office Services Coordinator position is a highly active, mobile, dynamic, on-site role requiring a versatile “jack of all trades” who thrives in a fast- paced environment and excels at multitasking. This individual must be able to think quickly, work independently and seamlessly shift between multiple responsibilities with efficiency and professionalism. The ideal candidate is a team player and problem solver with strong organizational, customer service, and time management skills. This role also serves as a backup position for reception and print services. Office or reception experience is preferred, as well as proficiency in Microsoft Office Suite. A can-do attitude and a passion for excellent customer service is a must.
Essential Duties & Responsibilities
Hospitality supplies and services:
- Manage inventory of hospitality supplies in kitchen and café areas, coordinate timely orders and deliveries with vendors.
- Assist with meeting preparation and cleanup, monitor room schedules and respond to hospitality requests via team mailbox.
- Maintain meeting rooms and shared spaces to ensure a welcoming environment for Associates and guests.
- Monitor condition of office appliances, perform basic cleaning and maintenance and coordinate service calls as needed.
Office supplies:
- Manage inventory and ordering of office supplies across all areas. Place orders regularly to maintain optimum quantities of essential items. Maintain relationships with office supply and hospitality vendors to ensure competitive pricing and reliable service.
- Organize supply rooms to maximize space and accessibility for Associates. Ensure supply rooms are kept neat and organized to promote a pleasant and productive work area.
- Respond to supply requests as needed and ensure timely fulfillment.
- Track expenses for supplies and hospitality needs.
New Associate Welcome:
- Track new hire announcements and coordinate tech delivery with IT department.
- Assist with employee onboarding by preparing desk setups and welcome materials.
- Prepare new Associate workstation by ensuring desk labeling, Welcome sign and technology are in good working order.
Additional Responsibilities as needed:
- Assist Print Services team with internal printing/binding requests (Typically 1-5 requests day)
- Provide phone coverage during breaks and PTO
- Maintain facility oversight and submit maintenance requests as needed
- Monitor reception desk and lobby entrance during coverage periods
- Prepare outgoing shipments as needed.
- Support cross- departmental operational needs as required.

The entry base salary offered for this opportunity may vary, and is contingent upon candidate education, skills, abilities, essential competencies, experience, professional designations, unique qualifications, and geographic location.
Performance Bonus: This role may be eligible for an annual performance bonus, based upon the financial performance of the organization and the individual contributions of the Associate.

Qualifications:
- Prior experience in office coordination, hospitality, or front desk support preferred
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, etc.)
- Excellent communication and interpersonal skills
- Ability to lift and move light to moderately heavy items (up to 40 lbs)
- Strong attention to detail and organizational abilities
- Familiarity with Konica Minolta Bizhub/Color press MFPs
