Appeals Division Administrative Assistant

 

The Appeals Division Administrative Assistant works under the supervision of the Clerical Supervisor and the Appeals Division Chief to provide general support functions to the Appeals Division, a ten-attorney unit of the District Attorney’s Office.  The Appeals Division Administrative Assistant is an employee of the Commonwealth of Massachusetts and serves at the pleasure of the District Attorney.

 

Primary Responsibilities

 

  • Administrative support for the appeals unit in all its areas of responsibility
  • Input case information and documents into electronic data management system (DAMION) and run reports from system
  • Assist in preparing and formatting briefs for filing in the appellate courts, including creating table of authorities, appendices, and covers
  • File documents electronically through Tyler host system or by mail
  • Create, organize, and maintain physical files
  • Manage packing of closed files and assist with their retrieval
  • Manage internal and external mail flow
  • Communicate as necessary with court personnel and other attorneys
  • Answer telephones, and direct callers and visitors during front reception back-up

 

Also, the Appeals Division Administrative Assistant performs whatever other duties at whatever job-site as may from time to time be assigned to her/him by the District Attorney, or the Clerical Supervisor or other designee of the District Attorney. The essential functions of the position require the effective ability to receive and distribute information in written, oral, and electronic form, in the English language.


Education and Experience:

Required:

  • HS Diploma or above
  • Strong computer skills; must be proficient with Microsoft
  • Strong interpersonal and written and verbal communication skills
  • Strong attention to detail and excellent organization skills
  • Ability to handle sensitive and confidential information

 

Preferred:

  • Experience working in a legal office or professional office setting
  • Working knowledge of the criminal justice system
  • Experience with DAMION system
