Essential Responsibilities
Accounting Operations
- Process accounts payable, including invoice coding, approvals, vendor payments, and vendor record maintenance.
- Manage accounts receivable functions, including customer billing, payment processing, account reconciliation, and record maintenance.
- Monitor AR aging reports and proactively follow up on past-due accounts.
- Communicate with customers regarding outstanding balances and coordinate payment arrangements when needed.
- Assist with month-end and year-end accounting activities, account reconciliations, journal entries, and general ledger maintenance.
- Support preparation of financial reports, management reporting, budgeting, forecasting, and special accounting projects.
- Assist with annual reporting requirements, including 1099 preparation.
Payroll Administration
- Process payroll for multiple companies and pay schedules, ensuring timely and accurate employee payments.
- Review and verify timecards, payroll data, earnings, deductions, benefits, accruals, and reimbursements.
- Process employee payroll changes, including new hires, terminations, wage adjustments, and leave-related updates.
- Maintain payroll records and respond to payroll-related questions.
- Assist with year-end payroll activities, including W-2 preparation and reporting.
Payroll Tax & Compliance
- Ensure accurate payroll tax calculations, reporting, and remittance of federal, state, and local payroll taxes.
- Support payroll audits and maintain compliance with applicable payroll laws and regulations.
- Work with payroll providers and internal stakeholders to resolve payroll and tax-related issues.
Cross-Company Support
- Provide accounting and payroll support to multiple companies within the organization.
- Assist with process improvements, system enhancements, special projects, and other duties as assigned.
Qualifications
- Associate's degree in Accounting, Finance, Business Administration, or related field preferred.
- 3+ years of accounting, bookkeeping, payroll, or related experience preferred.
- Experience with payroll processing, payroll taxes, accounts payable, accounts receivable, and general accounting principles.
- Multi-company accounting or payroll experience preferred.
- Proficiency with accounting software, payroll systems, and Microsoft Excel.
- Strong attention to detail, organization, and problem-solving skills.
- Ability to handle confidential information with discretion.
- Strong communication and customer service skills.
- Valid driver's license, acceptable driving record, and ability to meet insurability standards.
- Ability to pass a background check and maintain a substance-free work environment.
