Job Summary:
The Administrative Assistant will organize and perform support-level jobs critical to the Administration office operations. The Administrative Assistant is responsible for assisting in administrative procedures, inventory control, A/R & A/P data entry, record maintenance and other functions as needed. Experienced in handling a wide range of clerical and organizational related tasks and able to work independently with little or no supervision. Well organized, with a strong attention to detail and enjoy the administrative challenges of supporting a workforce of diverse people.
Essential Functions:
- Provide accounting and clerical support to the Administration Office.
- Assist in Accounts Payable: Data Entry, review workorders/invoices for accuracy, and mailing payments.
- Assist in Accounts Receivable: Data Entry, daily reconciliation of payments and depositing checks.
- Assist in overseeing the Administrative Inbox and other communications.
- Complete requests for all W-9, COI, contractor/subcontractor agreements, and credit applications for the company and/or for vendors.
- Assist in maintaining the President/CEO’s calendar.
- Assist in coordinating logistics for events/meetings, including room setup, catering, etc.
- Handle business license and fleet registration renewals.
- Inputs and updates information in databases and spreadsheets.
- Maintains physical and digital filing systems.
- Operates and maintains office equipment, including printers, copiers, and fax machines.
- Works closely with administrative staff and supports other colleagues as needed.
- Ensure security, integrity, and confidentiality of data.
- Other duties as assigned/required.
Skills & Aptitudes
- Proven office administrative/office assistant experience
- High school diploma: minimum education level required
- Excellent time management skills and ability to multi-task and prioritize work
- Strong Attention to detail and problem-solving skills
- Excellent written and verbal communication skills
- Strong organizational and planning skills
- Familiarity with standard office platforms, such as Microsoft Office and QuickBooks Online
- Knowledge of business and management principles
- Computer skills and knowledge of office software packages
Physical Demands:
The Administrative Assistant typically works in an office environment and uses a computer, telephone and other office equipment as needed to perform duties. The noise level in the work environment is typical of that of an office. Employee may encounter frequent interruptions throughout the workday. The employee is regularly required to sit, talk, or hear; frequently required to use repetitive hand motion, handle, or feel, and to stand, walk, reach, bend or lift up to 20 pounds.
Travel Required:
Minimal to none.
