Job Description

Summary

The Operations & Customer Service Specialist plays a key role in ensuring smooth day‑to‑end business operations by managing customer interactions, monitoring demand and capacity and maintaining accurate inventory levels.

This role requires strong analytical ability, excellent communication skills, and advanced proficiency in Microsoft Excel to support data-driven decision-making.

Key Responsibilities

• Customer Service & Support — Serve as a primary point of contact for customer inquiries, order updates, and issue resolution. Maintain a high level of

professionalism and ensure a positive customer experience.

• Demand & Capacity Management — Analyze demand and forecast inputs to meet operational needs, and coordinate with internal teams to ensure adequate capacity.

Identify potential bottlenecks and recommend adjustments to meet customer

requirements and expectations.

• Inventory Control — Monitor stock levels, track product movement, and coordinate replenishment activities. Investigate discrepancies, maintain accurate records, and support cycle counts or audits as needed.

• Data Analysis & Reporting — Use MS Excel to build reports, analyze operational

data, and support planning activities. Create dashboards, pivot tables, and

visualizations to communicate insights to leadership.

• Process Improvement — Identify inefficiencies in workflows and propose solutions to enhance productivity, accuracy, and customer satisfaction.

• Cross-Functional Collaboration — Work closely with supply chain, operations,

sales, and customer support teams to ensure alignment and timely execution of

business priorities.

Assist with establishing and achieving goals that align with production and strategic initiatives.

Assist in developing and documenting operating guidelines and procedures to ensure smooth operations.

Compile, record, and prepare material and inventory reports to keep track of resources and production progress.

Develop and document continuous improvement initiatives to enhance efficiency and effectiveness.

Produce and distribute the weekly Supplier Release Schedule using QAD, ensuring all relevant parties are informed of upcoming requirements.

Establish and maintain accurate supplier records to facilitate effective communication and operational efficiency.

Establish and maintain professional relationships with suppliers to foster cooperation and timely support.

Ensure on-time deliveries by providing accurate and timely releases to suppliers and adjusting schedules as necessary.

Communicate schedules and deadlines effectively with internal departments and suppliers to ensure alignment and timely execution.

Make adjustments to inventory levels following issue resolution, ensuring accurate stock levels are maintained.

Perform other related duties as required and assigned to support the overall operations of the department.

Qualifications:

Proven experience in a customer service role, preferably within the automotive industry.

Strong organizational and administrative skills.

Excellent communication and interpersonal abilities.

Proficiency with QAD or similar ERP systems.

Understanding of TS16949 & ISO14001 standards.

Ability to work collaboratively in a fast-paced environment.

High attention to detail and problem-solving skills.

Degree in Business Administration, Supply Chain Management, or a related field preferred.

Work Environment:

This position operates in a professional office environment and routinely uses standard office equipment.
