Office Coordinator

Location: 1442 S 700 W Salt Lake City, UT 84104
Position Type: Full Time

We are currently seeking a detail-oriented, professional, and reliable Office Coordinator to join our team and help keep our financial operations running smoothly.


Duties & Responsibilities:

  • Daily payroll preparation by project to ensure timekeeping accuracy

  • Payroll processing for Upstage crew labeled under payroll: HJY

  • Payroll and personnel updates including but not limited to address changes, direct deposit entry, and tax withholding updates

  • Garnishment, support order, and other income withholding order entry, processing, and management

  • Review onboarding paperwork completion and ensure I-9 compliance

  • Booking and managing crew travel, sending itineraries, and pulling travel estimates for project quotes

  • Greeting and directing guests and workers in the lobby

  • Answering office phone calls and messages

Knowledge, Skills & Abilities:

  • Willingness to work diligently with direction and limited supervision.

  • Good problem-solving skills, common sense and good judgment.

  • Ability to work with frequent interruptions while maintaining strong detail orientation, flexibility and adaptability under varied conditions and requirements, and maintain composure/perform well under time pressures.

  • Ability to hear and communicate verbally as well as read and speak English.

  • Must be able to be contacted and respond on short notice; is required to arrive at work on time and ready to work.

  • Must be able to attend work at our Salt Lake City office location for shifts as directed.

  • Willingness to learn online systems and programs to properly execute duties.

  • Has people skills and emotional intelligence to aid in working with the crew.

  • Shows care for the customer and knows how to prioritize and support Upstage in doing so.

  • Basic understanding of Google sheets, Microsoft excel, and basic computer skills.

  • Shows urgency and attention to detail in completing projects and executing great service.

Shifts & Schedule

  • Monday - Friday 9am - 5:30pm in person at the Salt Lake City, UT office 

  • This schedule may be subject to change (including nights & weekends) depending on the labor needs of the Upstage clients. 

Compensation

  • Salary Range $50,000 - $60,000 depending on experience

  • Not eligible for overtime

Benefits:

  • Paid Time Off: 15 days per calendar year, prorated to your hire date

  • (401K) Retirement program is available for qualified employes

    • Eligibility Requirements: 500 Hours within 6 months

    • Employee Match Up To 4%


Education:

  • High school or equivalent (Preferred)
