About the Role:

The A&S Office Manager supports the daily operations of the College of Arts & Sciences main office. Reporting to the College of A&S Assistant Dean, this position coordinates administrative processes, manages office workflow, and provides operational, financial, and event support for the College of A&S programs, faculty initiatives, and student employees while serving as a liaison with university offices to ensure efficient administration of the College’s activities.Ā

Minimum Qualifications

  • Bachelor’s Degree and two years related experience
  • Excellent written and verbal communication skills
  • Strong customer service orientation both internally and externally
  • Proficiency in Microsoft Office Suite, specifically word processing, spreadsheets, presentation and database software, internet applications and social media
  • Excellent administrative skills, including an ability to collaborate with campus community and programsĀ 
  • Strong organizational skills, able to work independently, multi-task, and manage project timelines
  • Attention to detail and problem-solving skills
  • Experience with diverse populations and a global orientation
  • Positive professional demeanor that instills confidence, trust and respect

Preferred Qualifications:

  • Three years of progressively responsible administrative experience in school, district, and/or education and training settings

Responsibilities:

  • Provides coverage and administrative support in the A&S Main Office (e.g. calendarĀ management,Ā meetingĀ scheduling, office moves, building maintenance knowledge and requests)
  • Support faculty searches (manage applicants in ADP, arrange interviews and meetings, book travel for applicants)
  • Order office supplies and instructional materials for Foster Hall as well as A&S programs
  • Process check requests (e.g. reimbursements, invoices) and approve p-cards
  • Oversee independentĀ contractĀ arrangements and grant payments
  • OverseeĀ budget allocations andĀ hiring processesĀ forĀ A&SĀ student employees
  • Support A&SĀ eventsĀ andĀ A&SĀ participationĀ inĀ AdmissionsĀ events
  • Support faculty special projects
  • Track purchases and receipts, maintain accurate financial records, and communicate regularly with the Accounting Office for questions, errors, and discrepancies
  • Reconcile budgets on a monthly/quarterly cycle
  • CollectĀ andĀ archiveĀ syllabusesĀ forĀ A&S, INTR,Ā andĀ WCoreĀ courses
  • Support A&S Dean with booking meetings and appointments, as needed
  • Other duties as assigned
