JOB DESCRIPTION: PROJECT COORDINATOR
SUMMARY: As a Project Coordinator, you report to the Project Manager. The responsibility of the Coordinator is to work with the Project Executive and the PM on the project in an Administrative position to support and facilitate reporting, processing of financials, and provide document control management. The Project Coordinator handles various coordinating tasks such as meeting agendas and minutes, filing, transcribing, and clerical support.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
The Project Coordinator has a multitude of responsibilities, some of which include:
- Prepare pay applications, certified payroll, and other supporting documents
- Assist Project Management Team with all administrative functions and processes such as issuing subcontractor change orders and weekly invoicing from vendors and suppliers
- Proactively and accurately manage Owner Pay Applications
- Collaborate with clients and internal teams to provide administration support and to maintain critical processes
- Establish and maintain communication with vendors and subcontractors
- Update and maintain project documentation (document control) and process financial queries
- Assure files and documents are current updated and well organized
- Assist with project closeout, operations manuals, & warranties/guarantees
- Support project team members as required to remain effective and productive
- Promote and enforce company safety culture and policies
EDUCATION and/or EXPERIENCE: Minimum of a Bachelor’s Degree from an accredited four-year college or university in Construction Management or Business-related field. 5+ years of construction administration experience in lieu of a degree. 1-3 years’ experience working commercial construction projects is desirable.
OTHER SKILLS AND ABILITIES:
- Knowledge of Microsoft Office Suite
- Maintain exemplary management of time and communication skills
- Strong client-facing and teamwork skills
- Familiarity with risk management and quality assurance control
- Ability to meet and work within critical deadlines and under moderate pressure
- Ability to prepare and interpret flowcharts, schedules, and action plans
