Clean Scapes is seeking a friendly, organized, and proactive Receptionist/Office Administrator to join our team. This role is important for creating a hospitable and professional atmosphere for our clients, , employees, and potential employees and providing essential support to our staff. The ideal candidate will be the first point of contact for visitors and clients, providing an excellent first impression of Clean Scapes. As a Receptionist/Office Administrator at Clean Scapes, you’ll play a key role in the smooth operation of our daily activities. Role + Responsibilities: Front Desk Management: Greet visitors and clients, ensuring a positive and professional first impression. Manage incoming calls, emails, and mail, directing them to the appropriate departments. Scheduling Support: Assist in managing calendars for company executives and meeting rooms, including scheduling appointments and meetings. Administrative Assistance: Provide administrative support such as filing, photocopying, and organizing documents. Client Interaction: Handle client inquiries with a courteous and professional demeanor, providing prompt and accurate information. Database Maintenance: Update and maintain client and employee databases to ensure accuracy and confidentiality. Event Coordination: Assist in organizing company events, meetings, and employee gatherings. Greeting Potential Employees: Welcome potential employees warmly, assisting them with filling out applications and providing information about the hiring process. Office Supplies Maintenance: Maintain inventory of office supplies, ordering new supplies as needed to ensure smooth office operations. Catering for Meetings: Coordinate and order lunches and other catering needs for business meetings as required. Conference Room Upkeep: Keep conference rooms clean and stocked with necessary resources such as waters and office supplies, ensuring they are always ready for meetings. Service-oriented—you love solving people’s problems and are the first to raise your hand to help Knowledge, Skills, + Abilities 1+ year of experience in a receptionist, administrative assistant, office coordinator, or customer service role. Strong organizational and multitasking skills with the ability to manage multiple priorities in a fast-paced office environment. Excellent verbal and written communication skills, with a professional and welcoming demeanor when interacting with clients, employees, and visitors. Proficiency in Microsoft Office Suite (Outlook, Word, Excel, Teams) and the ability to quickly learn new software and office systems. High attention to detail and strong problem-solving skills, with the ability to maintain accurate records, coordinate schedules, and handle confidential information professionally Bilingual (English/Spanish) preferred to effectively communicate with employees, applicants, and clients.
