Position Summary: 
The Accounting Clerk provides essential support to the Finance Department by maintaining accurate financial records, processing semi-monthly payroll through ADP, managing employee benefits, and assisting with onboarding and HR-related tasks. This role ensures compliance with GAAP and grant management standards, while working directly with grant administrators at the federal, state, city, and local levels. The Accounting Clerk is also responsible for preparing and sending invoices to these agencies, receiving and recording payments, and coordinating with local vendors, contractors, and health care providers to support financial and administrative operations.

Essential Duties and Responsibilities:
• Oversee the full Accounts Receivable cycle, including the accurate preparation of monthly invoices and the maintenance of up-to-date customer and vendor records.
• Oversee Accounts Payable processes, including reviewing invoices to ensure timely payment and preventing outstanding balances, as well as maintaining accurate vendor records.
• Accurately input and track all grant funding and donations.
• Perform bank reconciliations for all depository accounts.
• Reconcile balance sheet accounts, ensuring data accuracy and preparing monthly financial reports and journal entries as needed.
• Maintain and update the general ledger.
• Process semi-monthly payroll using ADP, including the preparation and verification of employee timecards and time reports.
• Ensure proper maintenance and organization of required business documents.
• Manage financial document retention and filing systems.
• Set up and maintain vendor profiles in the accounting system.
• Reconcile vendor statements and resolve any discrepancies.
• Prepare deposit and cash reports for internal review.

Minimum Qualifications
• Minimum of 2 years of hands-on experience in accounting, with demonstrated proficiency across core accounting functions; a bachelor’s degree in accounting or a related field is preferred.
• Prior experience working in a nonprofit environment with fund accounting is highly desirable.
• At least 2 years of experience using QuickBooks; strong proficiency in Microsoft Excel and Word.
• Ability to thrive in a fast-paced, detail-oriented environment with minimal supervision.

Other Preferred Qualifications:
• Demonstrated sensitivity to disability-related issues and familiarity with appropriate disability etiquette.
• Working knowledge of key legislation including the Rehabilitation Act of 1973, the Americans with Disabilities Act (ADA), the Work Incentives Act, and the Individuals with Disabilities Education Act (IDEA).
• Experience in administering state and federal grants, including the development and management of grant budgets.
