The Senior Analyst, Portfolio Data Operations is responsible for driving operational excellence across a commercial real estate portfolio by optimizing business processes, supporting acquisitions, and ensuring data quality. This role leads workflow design, AI tool development, and Salesforce report improvement, while coordinating data quality assurance with internal and external parties. The analyst collaborates closely with technology teams (Salesforce, Yardi, Snowflake), the Operational Excellence team, and cross-functional partners in Legal, Risk Management, Asset Management, and Credit to support acquisition and transition pipeline management. The ideal candidate brings expertise in lease administration, abstraction, and interpretation, experience establishing data quality standards and validation rules, and excels in communication, training, and collaborative problem-solving

Responsibility of the Senior Analyst, Portfolio Data Operations include:

  • Process Optimization & Workflow Design: Lead and support the design, documentation, and continuous improvement of end-to-end portfolio data management and lease abstraction processes. Collaborate with cross-functional teams to identify inefficiencies, recommend solutions, and implement best practices. Develop standardized process documentation and training materials.

  • Acquisition Support & Pipeline Management: Direct efforts to support acquisitions, including pipeline management, deal prioritization, and delivery tracking. Work closely with Legal, Risk Management, Asset Management, Credit teams, and third-party partners on acquisition and transition pipeline management.

  • Salesforce & Technology Collaboration: Lead Salesforce report development, testing, and process improvement. Collaborate with technology teams supporting Salesforce, Yardi and Snowflake and Operational Excellence teams on solution design, testing, training, and change management.

  • AI Tool Development & Testing: Design, develop, and test AI prompting tools for lease abstraction and workflow automation. Document requirements and testing protocols.

  • Data Management & Decision Support: Ensure integrity and accuracy of lease data. Develop actionable reports and dashboards for data-driven decision making. Apply accounting and financial acumen to interpret lease terms and portfolio metrics.

  • Quality Assurance: Coordination of data quality assurance efforts with internal and external parties.

  • Stakeholder Engagement & Communication: Serve as liaison between Portfolio Data Operations and internal/external customers. Communicate process changes and insights effectively. Foster collaboration and continuous improvement.

  • Perform other duties as assigned to support team success.

What you will need to be successful:

  • Bachelor’s degree required.

  • Minimum of three (3+) years of commercial lease abstraction/analysis experience or 5+ years of related experience in commercial real estate administration or paralegal field; having worked in either the Landlord or Tenant sector is a plus.

  • Prior experience working with cross-functional teams within a commercial real estate portfolio.

  • Knowledge of Salesforce, Yardi and other software solutions preferred.

  • Commercial real estate experience with strong foundation in lease abstraction, interpretation, and administration.

  • Experience in business process optimization, workflow design, and documentation.

  • Experience supporting acquisitions, pipeline management, and delivery tracking.

  • Proficiency in Salesforce report development, testing, and process improvement.

  • Experience collaborating with technology teams (Salesforce, Yardi, Snowflake) and Operational Excellence teams.

  • Experience establishing data quality standards and validation rules.

  • Strong analytical and problem-solving skills; data-informed decision making.

  • Proficiency in data analytics tools (Power BI, SQL, Alteryx, Excel).

  • Excellent verbal and written communication skills; ability to present complex information clearly.

  • Accounting and financial acumen relevant to lease and portfolio management.

  • Intellectually curious, proactive, and adaptable; thrives in fast-paced environments.

This hybrid position is based in our San Diego (Del Mar area) headquarters. Monday through Thursday is in-office for collaboration, with the opportunity to work remotely on Friday. For candidates outside San Diego and surrounding counties remote working options may be available.

The pay range for this role is $80,695 - $102,225 - $133,944

Offers near the high end are uncommon but may be considered for candidates with exceptional experience and skills and are dependent on the facts and circumstances of each case. You may be eligible for an annual discretionary bonus and an annual discretionary stock award, to be discussed during the interview process. An annual pay rate and total compensation package is generally determined by the candidate's experience, knowledge, education, skills, performance, and abilities, as well as internal equity, company performance, and alignment with market data.
