Propulsion Controls Engineering has a current opening for a Document Control Administrator, with a minimum 2 years of experience in document control, records management, configuration management, or administrative support in a regulated environment; supporting our San Diego, CA location.
Position Summary
The Document Control Administrator manages the organization, distribution, safeguarding, and lifecycle control of Controlled Unclassified Information (CUI) and other project documentation. This role ensures all documents are handled in compliance with federal CUI requirements, internal policies, and customer contractual obligations. The administrator maintains document repositories, oversees revision control, manages access permissions, and ensures timely distribution of controlled documents to authorized personnel.
Essential Duties and Responsibilities
- Maintain centralized document control systems for all controlled documents, including CUI, technical data, procedures, forms, drawings, and specifications.Â
- Ensure secure receipt, classification, processing, distribution, and archiving of CUI in accordance with DoD, NIST, and organizational policies.Â
- Enforce document control standards for naming conventions, versioning, and change management.Â
- Track document status, revision history, and approval workflows to ensure accuracy and compliance.Â
- Manage user access to controlled repositories, ensuring only authorized individuals can view, edit, or distribute CUI.Â
- Distribute controlled documents to internal and external stakeholders in accordance with release and access requirements.Â
- Conduct periodic audits of document systems to verify compliance and identify areas for improvement.Â
- Support project teams by providing guidance on documentation requirements, templates, and compliance guidelines.Â
- Coordinate with security personnel to ensure CUI handling practices align with organizational security protocols.Â
- Maintain logs, records, and documentation required for audits and government compliance reviews.Â
- Other document control or compliance-related duties as assigned.
Position Requirements
Education and Experience:
- High school diploma or GED required; associate degree preferred.
- 2+ years of experience in document control, records management, configuration management, or administrative support in a regulated environment.
- Experience working with CUI, DoD contracts, or NIST-based compliance programs preferred.
Knowledge, Skills and Abilities:
- Working knowledge of CUI requirements under 32 CFR Part 2002, NIST SP 800‑171, and organizational CUI handling procedures.
- Strong organizational skills with the ability to manage multiple document sets and workflows simultaneously.
- Proficiency with document management systems (SharePoint, Procore, or similar platforms).
- Attention to detail and ability to maintain strict accuracy in revision control and documentation tracking.
- Ability to safeguard sensitive information and follow strict access‑control processes.
- Strong communication skills for coordinating with internal staff, project managers, and compliance personnel.
- Ability to learn and apply technical terminology and document control principles.
