Job DetailsJob Location: Administrative Offices - Main Campus - San Diego, CA 92110Position Type: Full TimeEducation Level: High SchoolSalary Range: $23.00 - $26.00 HourlyJob Shift: AnyTitle: Employment Program Lead Department: Employment Reports to: Program Manager of Employment Services FLSA Status: Full-time, Non-Exempt _______________________________________________________________________________________ Job Summary: Serve as the primary point of contact for the Director of Employment: sharing information with representatives of DOL, EDD, County of San Diego, business, and community organizations. Explain policies and procedures to staff, veterans, and clients. Assist with interviewing potential employment case manager candidates. Attends Program Staff meetings and assists with the preparation of monthly reports to the separate funding sources.   Essential Duties and Responsibilities: Monitors program performance within individual contracts and reviews program activities to assist with compliance on all contract requirements. Contacts outside agencies regarding employment and training and keeps current on employment related issues. Explain policies and procedures to staff, veterans, and clients. Prepares correspondence including reports, e-mails, letters, presentations, and other documentation on behalf of the Director. Manage the performance review process for case managers, providing feedback and setting actionable goals to enhance their strengths and address areas for improvement Complete monthly, quarterly, and close-out reports for state and federal grants. Data entry and recordkeeping for both state and federal programs to include CalJOBS, Technical Performance Reporting and Narratives; Rosters of program participants, training, placements, and supportive service spending. Manage and process employee timesheets using Paycom for accurate payroll administration Assist the Director of Employment with grant writing tasks and related administrative support. Assign individual tasks to case managers and ensure goals are clearly defined and achieved Disburses petty cash funds as needed. Responsible for storing and distribution of gift cards used for client supportive services. Perform scheduling, meeting, and periodic travel arrangements for the Director; some scheduling and meeting coordination for other members of the employment department. Conducts interviews with veterans to determine eligibility and requirements for federal and state employment programs. Other duties as assigned. QualificationsRequirements and Qualifications: High School Diploma required; college degree is preferred, but not required Minimum of 3 years’ experience in an administrative support role Microsoft Office Suites Proficient (Word, Excel, PowerPoint and Outlook) Ability to follow directions and execute tasks successfully within an assigned time frame A team oriented, self-motivated individual capable of multi-tasking Customer service experience Some knowledge about community resources beneficial Must possess effective communication and analytical skills, both oral and written Able to work with and relate to participants and be culturally sensitive.   Physical Requirements: Ability to bend and lift light objects Ability to sit for extended periods of time while viewing a computer monitor Dexterity of hands and fingers to operate a computer keyboard Capable of hearing and speaking to exchange information Seeing to read reports and data Ability to speak English Must be able to work in a noisy, busy environment.
