SUMMARY

The Human Resources Assistant II performs of variety of duties pertaining to Attendance and the Medical Leave Office. This position is responsible of administering the policies and procedures related to NASSCO's Attendance workforce. This position interacts with managers, supervisors, employees, and external agencies.

ESSENTIAL FUNCTIONS AND DUTIES

  • Provides excellent customer service to internal and external customers.
  • Respond to frequently asked questions from applicants and employees; refers more complex questions to the appropriate HR staff member.
  • Assists the Medical Leave Administrator with leave administration and the interactive process for reasonable accommodations.
  • Acts as a resource and guide for supervisors and managers for all employee relations matters.
  • Interfaces with all departments regarding employee issues or staffing needs.
  • Maintains the confidentiality and integrity of human resources files and records. Adheres to NASSCOs confidentiality requirements, policies, values and standards.
  • Maintains accurate and up-to-date files, records, and documentation.
  • Provide relevant updates to departments and supervisors throughout the organization.
  • Responsible for administering the Attendance Program, including clearing attendance points, validating employee return-to-work status, qualifying FMLA/CFRA LOAs/Holiday Pay, and employee completion of disability paperwork.
  • Processes and distributes attendance warnings and/or appropriate excuses.
  • Mails letters to employees regarding documentation and return-to-work status. Generates written correspondence as required.
  • Process employee requests for documentation, including time records and sample certification documents.
  • Communicate with departments/supervisors, as directed, regarding discrepancies in or inadequacies with notices of written discipline.
  • Reproduces materials & literature used in Employee Relations program administration.
  • Opens and distributes mail. Answers telephone lines for department.
  • Participates in HR sponsored events.
  • Performs other responsibilities and duties as assigned. Support special projects or other duties/tasks as assigned.

SKILLS AND QUALIFICATIONS

  • Any combination of education and experience equivalent to a Bachelors degree with major coursework in business administration, human resources or related field.
  • Proficiency in Microsoft Office products, including Outlook, Excel and PowerPoint
  • Experience with Oracle/PeopleSoft systems, Success Factors, Workforce AutoTime, and JIRA strongly preferred.
  • Excellent written and verbal communication skills.
  • Demonstrated competency in establishing and maintaining effective working relationships, maintaining confidentiality, setting priorities, meeting deadlines and schedules, working with detailed information, adapting to changing priorities, providing accurate work product with attention to detail, communicating with diverse groups and working well independently and as part of a team.
  • Demonstrated ability to provide excellent customer service.
  • Must be highly detail orientated and pays close attention data accuracy.
  • Must be able to handle stressful situations.
  • Fluency in English/Spanish (verbal and written) preferred.
  • Actively participates in implementing and monitoring continuous improvement initiatives to improve safety, improve quality, reduce cycle time, and reduce costs.

PHYSICAL DEMANDS

Work is generally performed in office conditions with good lighting. Specific vision abilities required include close vision, distance vision, peripheral vision, depth perception, and ability to focus. Regularly required to sit, use hands and fingers to operate computer keyboard and controls. Maintain the ability to commute to other buildings in and outside the shipyard for meetings, presentations, and training. Occasional exposure to dust, fumes, and moderate levels of noise.

ACCOUNTABILITY

The Human Resources Assistant is a full-time non-exempt position. This role must demonstrate discretion, integrity, solid work ethic, adherence to the Company Code of Conduct, and a commitment to General Dynamics NASSCO. Primarily accountable for the timely processing of all internal and external documentation, forms and programs to ensure that employees receive relevant information, answers to questions, and are processed and returned to work as quickly as possible and that such processing is done in accordance with company policy. Provides administrative support to the Employee Relations and Labor Relations departments.

PAY SCALE

$56,400 - $72,900

This pay range is a reasonable estimate of the salary range for this role. It takes into account the wide range of factors considered in making compensation decisions; including but not limited to skill sets, experience, training, and education.
