About the Position: Full Time Administrative Manager

 

We are seeking a Business Administrative Manager professional to join our team to support and scale our sales and operations team needs. This is an integral role, which requires someone who is detail oriented, highly organized, research-minded, and inquisitive. 

 

What You’ll Do: 

The Administrative Manager will be supporting the sales operations team and providing administrative support to this team. 

You will play a vital part in ensuring the accuracy and efficiency of our sales and membership sales, while supporting the Director of Sales Operations in administrative support.  Your responsibilities will include acting as the primary point person for all sales data, reporting, and support in auditing all sales for the team. Additionally, you will be providing oversight for clubs ordering supplies, and supporting our admin email account, mail campaigns and various administrative duties for this team.  

As you grow in the role, you will have the opportunity to contribute to process improvements and efficiency recommendations in all aspects of the management of the administrative role with the sales team.   

 

Key Responsibilities:

 

  • Daily auditing of all club sales
  • Daily Reporting and club reconciliation, including auditing, deactivate club members, cancelled membership, delegate bad cards, rejects and follow through on all charge backs.
  • Processing refunds with complete tracking and detail
  • Auditing member counts for each clubs monthly/daily reporting 
  • Ownership of admin email, address email and responding.
  • Member outreach and email campaigns answering and fielding phone calls. Responsible for all club supply orders and more.
  • Communication with general managers regarding questions, sales and auditing.
  • Maintains quality service by following organization standards and exhibiting professionalism.
  • Assists Sales Management with special projects for growth and efficiency.
  • Hybrid work from home role, in office a few days a week. 

 

Preferred Qualifications:

  • High School Diploma, prefer a college degree or college courses.  
  • Basic knowledge of business administration and best practices, processes, and terminology
  • 2+ years’ work experience in administration, operations or similar role
  • Excellent interpersonal and customer service skills. 
  • Must have strong organizational ability, prioritize work including working independently and time management skills
  • High attention to detail in the maintenance of accurate records and files
  • Ability to act with integrity, professionalism, and confidentiality.
  • Proficiency with standard business software applications: word processing (e.g. Microsoft Word), spreadsheet (e.g. Excel), communications and scheduling (e.g. Outlook)
  • Self-directed, collaborative and task motivated.
  • Strong problem-solving skills and adaptable to managing changing business needs.
  • Open to learning and adapting to change.

 

STATUS:

  • This is an FLSA Non-exempt position.
  • This is not an OSHA high-risk position.
