About the Role
The Philanthropic Services Associate provides essential administrative and operational support to our Philanthropic Services (PS) team, keeping the day-to-day machinery of grants and contributions running smoothly. You'll process gift receipts, monitor bank accounts, triage shared inboxes, and respond to contribution-related questions from members and internal stakeholders alike.
Reporting to our Head of Philanthropic Services, this is a role with real, immediate impact. From day one, you'll help us build the operational capacity and consistency needed to maintain a great experience for members as we scale.
What You'll Do
Contribution Processing: Handle day-to-day processing of gifts and contributions, ensuring accuracy and timeliness at every step.
Gift Receipts: Prepare and issue gift receipts, keeping records accurate and donors well informed.
Bank Account Monitoring: Monitor bank accounts for incoming contributions and flag or resolve discrepancies as they arise.
Shared Inbox Management: Triage and manage shared team inboxes, making sure nothing falls through the cracks.
Donor and Stakeholder Support: Respond to contribution-related and general PS inquiries via Slack and email with professionalism and care.
Giving and DAF Partnership Workflows: Support workflows tied to giving and our corporate DAF partnerships.
Bank Verification Calls: Conduct bank verification calls as part of our due diligence process.
Case Management: Create and manage cases in our CRM, keeping information current and accessible to the team.
Special Projects: Contribute to special projects and broader PS team initiatives as needs evolve.
What We're Looking For
We're looking for someone who's organized, detail-oriented, and energized by the idea of being the operational backbone of a fast-moving team. You'll be comfortable learning new systems quickly, juggling multiple priorities without losing accuracy, and bringing a calm, professional, solutions-oriented approach to everything from a member's question to an unexpected process hiccup.
You'll have:
Organizational Skills: Exceptional ability to manage multiple priorities and meet deadlines in a fast-paced environment.
Attention to Detail: Strong commitment to accuracy, especially when handling financial and donor-related information.
Communication Skills: Excellent written and verbal communication, with the ability to provide professional, timely support to donors and internal stakeholders.
Learning Agility: A demonstrated ability to pick up new systems, processes and tools, quickly.
Sound Judgment: Strong problem-solving skills and the ability to know when to resolve issues independently versus escalate.
Independence and Collaboration: Proven ability to work autonomously while collaborating effectively across a team.
Integrity and Discretion: A high level of trustworthiness when handling confidential donor and financial information.
Nice to haves:
Experience working in philanthropy, nonprofit operations, donor services, or fundraising.
Familiarity with donor-advised funds (DAFs), charitable giving, or contribution processing.
Experience using Salesforce or similar CRM and case management systems.
Experience managing shared inboxes or supporting customer service, donor support, or operations teams.
Experience working in a high-growth or fast-paced environment with evolving priorities.
If you're excited about our mission but don't meet every requirement, we still encourage you to apply.
