SUMMARY
This individual will provide clerical support and assistance to the Public Works Director and Public Works and Water Department staff.
Provides administrative and clerical support in a variety of areas including copying, filing, reception, record keeping, data entry, and routine correspondence and reports. Helps prepare data for billings and invoices. Process accounting documents review and payment
DUTIES AND RESPONSIBILITIES
Although other duties may be assigned, the essential duties include the following:
- General clerical duties and administrative support activities
- Answer phones and assist in the assigning work orders
- Coordinate meetings with vendors, subcontractors, and field staff
- Track daily work orders to ensure timely completion and maintain work order logs
- Interact with Soboba Tribal Members and/or Soboba business units to ensure all work orders are accurate and are completed as expected
- Assist the Public Works Director or designee in the processing of invoices, purchase orders, and daily time sheets
- Maintain equipment and vehicle preventative maintenance logs
- Ensure timely delivery of inter-office mail and other mailings
- Orders and maintains office supply and inventory
- Aid and maintain records of cultural materials, post and present
- Prepare documents, including mailings from correspondence drafted
- Perform copying and filing, various office projects and tasks
- Performs other duties as directed
EDUCATION/EXPERIENCE
- High School Diploma or a GED equivalency
- 3 years' experience as an Administrative Assistant or closely related field or equivalent combination of education and experience in the field of general office duties and responsibilities.
QUALIFICATIONS
- Maintain professional demeanor at all times
- Deal with heavy public contact
- Adapt to frequent change and reorganization
- Typing is required at a speed and accuracy to fulfill job functions (30-35 wpm with typing test required)
- Software knowledge and computer literate in Microsoft Word, Excel and Power Point database (testing required)
- Personable and able to work with the range of community members
- Effective written and oral skills
REQUIRED
- A current California Driver's License
- Must have the ability to read, write, and speak English

PHYSICAL DEMANDS
- Must be able to sit for extended periods of time performing administrative duties. Some minor lifting may be required (up to 20-25 pounds).
- Must be able to work in warehouse or industrial environments in which indoor climate may fluctuate according to weather conditions
