Department Overview Â
The Sites in Construction meeting is a standing, twice-weekly operational forum intended to drive visibility, alignment, and decision‑making across active construction projects. Over time, the meeting has become inefficient, overly time‑consuming, and inconsistent in value delivery. Despite multiple attempts to adjust format, content, or cadence, the meeting continues to underperform.
This intern project will focus on completely rethinking, redesigning, and implementing a new operating model for the Sites in Construction review. The goal is to produce a repeatable, efficient, data‑driven, and scalable process that reduces meeting load while improving outcomes.
Position ResponsibilitiesÂ
Assess the Current State
Conduct interviews with core meeting participants and stakeholders.
Observe several live meetings to document pain points, inefficiencies, and process gaps.
Map the current workflow, inputs, outputs, and decision-making pathways.
Define the Future State
Recommend an optimized meeting structure — or validate whether the meeting should be consolidated, replaced, or eliminated.Â
Establish clear meeting purpose, ownership, decision rights, required participants, and ideal cadence.
Identify data and reporting requirements for an improved operating model.
Design and Build
Create a future-state process flow, meeting charter, templates, dashboards, or other artifacts.
Recommend tooling or automation opportunities (e.g., Power BI, Smartsheet, Teams workflows).
Develop a proposed implementation plan with milestones, adoption steps, and KPIs.
Pilot and Implement
Run a structured pilot of the new meeting or process changes. Gather feedback, refine the model, and prepare final recommendations. Deliver operational documentation for handoff.
