Position Summary

The Facilities Supervisor is a hands-on leader responsible for daily facilities operations at the corporate headquarters campus while supporting the Regional Facilities Manager on strategic initiatives. This role oversees two Facilities Technicians and ensures smooth execution of maintenance, space planning, workplace services, events, vendor management, and facilities projects. The Supervisor will also play a key role in the upcoming headquarters relocation, helping plan and coordinate all facility-related aspects of the move while maintaining uninterrupted workplace services.

Responsibilities:
Leadership & Team Supervision
• Provide direct supervision, training, coaching, and daily direction to Facilities Technicians.
• Establish work priorities and assign tasks to ensure efficient service delivery.
• Monitor work quality, productivity, and completion of assignments.
• Foster a positive, collaborative, and customer-focused team environment.
• Assist with employee development, performance management, and training initiatives.
• Serve as the lead point of contact during the Regional Facilities Manager's absence.
Facilities Operations
• Oversee day-to-day facilities operations across the headquarters campus.
• Conduct regular inspections and facility walkthroughs to identify maintenance needs, safety concerns, and opportunities for improvement.
• Ensure office spaces, conference rooms, common areas, and support spaces remain safe, clean, functional, and professional.
• Coordinate office moves, furniture installations, workstation setups, and space reconfigurations.
• Assist with event planning and execution, including meeting setups, executive events, town halls, and special functions.
• Support mailroom, shipping/receiving, inventory management, and workplace services operations as needed.
• Respond to facilities-related requests and ensure timely resolution of service tickets.
Vendor & Contractor Management
• Coordinate and oversee vendors, service providers, and contractors performing work on-site.
• Monitor vendor performance to ensure compliance with company standards and service level expectations.
• Assist with obtaining quotes, scheduling services, and reviewing completed work.
• Support preventative maintenance programs for building systems and equipment.
Project Management
• Assist the Regional Facilities Manager with facilities projects, renovations, workplace improvements, and strategic initiatives.
• Play a key role in planning and executing headquarters campus relocation activities.
• Coordinate project schedules, vendor activities, and internal stakeholder communications.
• Track project milestones, budgets, action items, and deliverables.
• Prepare status reports and communicate project updates to leadership and key stakeholders.
Customer Service & Communication
• Develop strong partnerships with employees, department leaders, building management, and vendors.
• Serve as a visible and approachable facilities representative for campus occupants.
• Communicate effectively with frontline employees, business partners, and executive leadership.
• Provide regular updates on facilities initiatives, project progress, and operational issues.
• Escalate significant risks or concerns appropriately and recommend solutions.
Safety & Compliance
• Promote workplace safety and ensure compliance with company policies and facility procedures.
• Participate in emergency response planning and business continuity initiatives.
• Assist in maintaining facilities documentation, procedures, and operating standards.
• Support inspections and corrective actions as necessary.
Administrative Responsibilities
• Maintain accurate records related to facilities operations, vendors, projects, inventories, and service requests.
• Generate reports and presentations for facilities management and leadership review.
• Assist in budget tracking and expense management.
• Utilize facilities management systems, Microsoft Office applications, and workplace technology platforms.
Other Duties
• Perform other duties and special projects as assigned.

Qualifications

Required

  • High School Diploma or equivalent required; Associate's or Bachelor's degree preferred.
  • 4–7 years of facilities, workplace services, building operations, or related experience.
  • 1–3 years of experience leading, supervising, or coordinating the work of others.
  • Experience supporting office moves, workplace projects, or facilities renovations.
  • Strong customer service orientation and relationship-building skills.
  • Excellent verbal and written communication skills.
  • Strong problem-solving, organizational, and decision-making abilities.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Proficiency with Microsoft Office Suite (Outlook, Excel, Word, PowerPoint, Teams).
  • Ability to lift and move up to 50 pounds as required.
  • Ability to walk, stand, bend, and perform physical facility-related tasks throughout the workday.

Preferred

  • Facilities Management, Property Management, Workplace Services, or Project Management experience.
  • Experience managing vendors and service contracts.
  • Experience with workplace management software, CMMS, or ticketing systems.
  • Experience supporting corporate campus environments.
  • Knowledge of building systems including HVAC, electrical, plumbing, and life safety systems.
  • Project management experience involving office relocations, renovations, or workplace transformations.
