Front Office Coordinator

The Front Office Coordinator serves as the face of A10 Networks and the first point of contact for employees, candidates, customers, vendors, and visitors. This role is responsible for managing daily front desk operations while providing administrative and office coordination supp ort to ensure a welcoming, professional, and efficient workplace.

The position reports directly to the Senior Facilities Manager. The ideal candidate is customer

focused, highly organized, proactive, and takes pride in creating an exceptional experience for employees and visitors while balancing multiple priorities with professionalism, sound judgment, and a strong sense of ownership.

This is an on-site position based in our San Jose, CA office. Standard work hours are Monday through Friday, 8:00 a.m. to 5:00 p.m.

Key Responsibilities:

  • Serve as the first point of contact for employees, visitors, candidates, and vendors, creating a welcoming and professional office environment
  • Greet visitors, manage the visitor check-in process, and ensure compliance with company security and access procedures
  • Answer, screen, and direct incoming phone calls and general inquiries promptly and professionally.
  • Maintain a clean, organized and welcoming reception and lobby area that reflects A10 Networks’ standards
  • Maintain an up-to-date knowledge of building and floor layouts, conference rooms, and key personnel

Workplace & Office Coordination

  • Coordinate conference room reservations, employee meetings, company events, room setup, catering, and other workplace logistics to support a positive employee experience
  • Receive, sort, and distribute incoming mail, packages, and courier deliveries in a timely manner
  • Respond to day-to-day employee requests to provide workplace support to ensure a positive employee experience
  • Prepare documents and provide general administrative support as needed
  • Maintain office supply inventory and coordinate replenishment to ensure the office is well stocked

Security & Facilities Support

  • Ensure all visitors and employees are properly registered, badged, and authorized before entering the building, and assist employees with badge-related requests
  • Issue and manage the temporary badges using the company’s badging software, including tracking loaner badges and ensuring their timely return
  • Maintain office key inventory and issuance logs, ensuring accurate tracking and timely return of company keys
  • Partner with Facilities, IT, HR, and Security teams to support office operations, workplace initiatives and new hire onboarding, including issuing new hire badges
  • Collaborate across departments to support cross-functional initiatives and day-to-day office operations as needed
  • Perform other related administrative, office coordination, and workplace support duties as assigned

Qualifications & Experience:

  • 3+ years experience in a front desk, receptionist, office administration, hospitality, or customer facing support role
  • High school diploma or GED required
  • Proficiency with Microsoft Office and Microsoft 365 applications, including Outlook, Word, Excel, PowerPoint, and Teams
  • Ability to lift and move packages weighing up to 25 pounds

Final salary offers are determined by considerations including, but not limited to, subject matter expertise, demonstrated skill level, relevant experience, geographic location, education, certifications, and training.
